About Veralux
Veralux Health is Arkansas's first whole-body MRI screening practice. Every scan is interpreted by board-certified physicians, and we see a limited number of patients each day by design — our environment is calm, unhurried, and personal, and we intend to keep it that way.

Most people meet the healthcare system only after something has already gone wrong. Veralux exists to change that starting point. We give people a detailed picture of their health while they are well — and then, just as importantly, we sit down and help them understand it.
That second part is the whole idea. Data alone is not insight. A scan is only as valuable as the conversation that follows it. Our work is turning health intelligence into genuine understanding and turning that understanding into decisions people can act on. Patients leave here knowing more about their own bodies than they ever have and knowing what to do next.
This is the first practice of its kind in Arkansas and regionally, and it is still early. Our team is small and founder-led, so the person in this role can help us grow and see the difference they make one patient at a time.
About the Role
The Patient Experience Coordinator is often the first person a patient meets and the last person they see before leaving. You'll serve as the primary point of contact throughout each patient's Veralux experience — before, during, and after their visit — working closely with our physicians, MRI technologists, and administrative team to deliver a seamless, concierge-level experience.
Our patients include executives and professionals for whom privacy and discretion are paramount, and this position carries real responsibility for how Veralux is experienced and remembered.
What You'll Do
Patient Experience
- Welcome every patient with warmth, professionalism, and genuine attention.
- Answer questions about our services and what to expect with clarity and empathy, escalating clinical questions to our physicians and technologists.
- Create an atmosphere that reflects our commitment to excellence, privacy, and calm.
- Patient-facing team members wear Veralux-branded scrubs, provided by the practice.
Patient Coordination
- Schedule and coordinate MRI appointments and physician consultations.
- Verify patient identity and required documentation; review MRI safety questionnaires and intake forms for completeness.
- Educate patients on MRI preparation and post-scan expectations.
Patient Follow-Through
- Respond to new patient inquiries the same business day — by phone whenever possible.
- Coordinate results-delivery scheduling and physician coordination letters to patients' primary care providers.
- Manage follow-up and rescan scheduling outreach so no patient's care plan falls through the cracks.
Administrative Support
- Maintain accurate records with strict HIPAA compliance and disciplined phone-verification practices.
- Collect patient payments and answer billing questions (Veralux is a direct-pay practice).
- Answer incoming calls and emails professionally; keep waiting areas and patient suites welcoming.
What We're Looking For
We can teach our workflows and our software; it's harder to find genuine kindness and professionalism.
- Demonstrated discretion and sound judgment with confidential information. Our patients’ privacy is paramount — protecting it is non-negotiable.
- Experience delivering exceptional service in hospitality, concierge, premium wellness, or healthcare settings.
- Outstanding interpersonal skills; warm, polished, and composed under interruption.
- Attention to detail and follow-through — you close loops without being asked.
- Comfort with technology and the ability to learn new systems quickly.
- Values doing fewer things at a higher standard over doing many things quickly.
Ideal (but teachable — apply anyway)
- 1+ year in a medical office, physician practice, or imaging center with direct patient contact.
- Working knowledge of medical terminology and electronic medical records.
- Experience in concierge medicine or executive health.
- Medical Office Assistant certification or similar credential.
Schedule
This is a three-day-per-week position that includes some Saturdays. Weekday shifts run 8:00 AM–5:00 PM and Saturdays 9:00 AM–3:00 PM, for approximately 20–25 hours per week. Specific weekdays are set with your manager, and occasional flexibility to cover an additional day is appreciated but not required.
