Position Summary
The Homecare Coordinator is responsible for the day-to-day coordination of client services, with a primary focus on Electronic Visit Verification (EVV) management, visit entry and verification, scheduling, and client chart maintenance. This role serves as a central point of contact for caregivers, clients, and office staff, ensuring visits are accurately documented, verified, and compliant with Ohio Medicaid and payer requirements.
Key Responsibilities
- Manage and monitor Electronic Visit Verification (EVV) daily using Sandata (or an approved alternative EVV system), ensuring all visits are captured, matched, and compliant with Ohio Medicaid EVV requirements
- Input, review, and verify caregiver visits in Axxess, resolving missed, incomplete, or unverified visits in a timely manner
- Maintain accurate and complete client charts, ensuring all required documentation is current and audit-ready
- Upload, organize, and file documents into client and employee records (service plans, authorizations, physician orders, assessments, etc.)
- Coordinate and maintain caregiver schedules, filling open shifts, communicating schedule changes, and ensuring adequate client coverage
- Answer incoming phone calls professionally, directing inquiries and providing timely follow-up to clients, caregivers, case managers, and payers
- Communicate with field staff regarding clock-in/clock-out issues, visit exceptions, and EVV corrections
- Support billing readiness by ensuring visits are verified and documentation is complete prior to claim submission
- Assist with general office administrative duties as assigned
Required Qualifications
- Minimum 2 years of experience working in a home care office setting
- Hands-on experience with Sandata or an alternative EVV system (required)
- Hands-on experience with Axxess home care software (required)
- Experience inputting and verifying visits, maintaining client charts, and uploading documentation
- Proficient computer skills, including Microsoft Excel, Outlook, and Microsoft Teams
- Experience with scheduling and multi-line phone handling in a professional office environment
- Strong attention to detail, organization, and follow-through
- Excellent verbal and written communication skills
- Ability to multitask and prioritize in a fast-paced environment
Preferred Qualifications
- Knowledge of Ohio Medicaid, PASSPORT, McGregor Pace and managed care plan requirements (CareSource, Buckeye, Anthem, Molina, Humana)
- Familiarity with home care compliance and documentation standards
- Experience working with case managers and payer representatives
