Your Competitive Edge

Base salary: $65,000 to $75,000 annually, paid bi-weekly.

This position is eligible for variable compensation in accordance with the Charter Sourcing Specialist Variable Compensation Structure.

The Charter Sourcing Specialist is a strategic and operational role within Jet Access's charter pipeline, responsible for evaluating supplemental lift solutions, managing vendor relationships, and guiding trips from initial request through confirmed booking. This role requires independent judgment, market intelligence, and active negotiation to identify the most effective sourcing strategy for each trip - balancing aircraft suitability, operator reliability, client expectations, and commercial viability. The Charter Sourcing Specialist plays a direct role in protecting Jet Access's reputation, profitability, and long-term operator relationships.
Strategic Sourcing and Aircraft Solution Evaluation
- Evaluate supplemental lift solutions based on aircraft suitability, operator reliability, routing efficiency, pricing structure, operational risk, and client expectations, applying independent judgment to identify the most effective sourcing strategy for each trip.
- Analyze multiple aircraft and operator scenarios to determine optimal solutions that balance client experience, operational practicality, and commercial viability - guiding sourcing direction through informed decision-making rather than transactional quote distribution.
- Exercise negotiating authority when discussing pricing, availability, repositioning considerations, schedule limitations, and operational accommodations with supplemental lift providers.
- Continuously evaluate market conditions, fleet trends, operator capabilities, and availability shifts to improve sourcing strategy and strengthen advisement to brokers.
- Serve as a knowledgeable resource to brokers by providing operational insight and aircraft solution recommendations that go beyond basic pricing comparison.
Vendor Relations and Operator Partnerships
- Build and maintain strategic relationships with supplemental lift providers that support long-term sourcing flexibility, service reliability, and competitive buying power.
- Identify preferred operator partnerships based on consistency, reliability, responsiveness, safety reputation, and long-term value creation for Jet Access and its clients.
- Navigate complex vendor interactions while balancing urgency, professionalism, operational integrity, and company objectives.
- Protect company and client interests by recognizing operational concerns, potential service failures, or unfavorable trip structures before confirmation.
- Maintain up-to-date knowledge of the provider landscape, including fleet capabilities, operational limitations, and emerging market relationships, to strengthen sourcing leverage over time.
Platform Data Entry and Quote Management
- Enter trip options and sourcing data accurately into Stack.aero, ensuring all relevant details are captured for broker review and markup selection.
- Utilize various aircraft sourcing platforms in accordance with established workflows and timing requirements
- Maintain organized records of quote activity, provider communications, and trip status within internal systems.
- Verify data accuracy at each stage of entry to minimize errors and support downstream trip processing.
- Communicate quote status and updates to brokers in a timely manner, supporting informed booking decisions.
Booking Oversight and Operational Coordination
- Oversee the progression of sourced trips from broker approval through booking confirmation, ensuring all confirmed arrangements accurately reflect negotiated terms, operational expectations, and client requirements.
- Generate and distribute charter contracts, collect signed agreements, and coordinate payment authorization in alignment with company procedures.
- Create complete trip packets via Stack.aero upon booking confirmation and execute clean, timely handoffs to the servicing team with all documentation organized and communicated clearly.
- Coordinate cross-functionally with servicing and operational teams to resolve discrepancies, operational concerns, or sourcing conflicts proactively before advancement to the servicing stage.
- Maintain clear documentation of booking status throughout the confirmation and handoff process to support audit trails and accountability.
Operational Decision-Making and Continuous Improvement
- Operate with a high level of autonomy and professional judgment while managing multiple active sourcing initiatives simultaneously, making confident decisions under time-sensitive conditions.
- Prioritize competing operational demands independently, assessing commercial and operational tradeoffs to protect trip quality, profitability, and client experience without requiring escalation.
- Anticipate sourcing challenges before they surface, leveraging industry knowledge and operator relationships to influence outcomes proactively.
- Identify opportunities to streamline sourcing or booking workflows and bring well-reasoned recommendations to leadership.
- Complete special projects and initiatives as needed, embracing opportunities to contribute to Jet Access's continued growth and success.
Who Thrives in This Seat
The Skills You Carry In
- 2 or more years of experience in charter operations, off-fleet sourcing, trip coordination, aviation sales support, or a related role, with demonstrated ability to exercise independent judgment in a high-volume, detail-intensive environment.
- Strong analytical and evaluative skills; ability to assess multiple aircraft and operator scenarios simultaneously and make informed sourcing recommendations under time pressure.
- Excellent written and verbal communication skills, with the ability to correspond professionally and effectively with brokers and supplemental lift providers.
- Effective time management and prioritization skills; ability to manage competing demands and work accurately in a fast-paced, deadline-driven environment.
- Proficiency in Microsoft Office Suite; comfort learning and working within aviation-specific platforms such as Stack.aero and Avinode.
- Ability to work a variable schedule including weekend coverage as part of a rotation.
- Must pass background checks and pre-employment screening.

What the Days Look Like
- Schedule transitions to 4 x 10-hour shifts per week; coverage window runs 9:00 a.m. to 7:00 p.m., Sunday through Saturday, with shift assignments rotating to ensure full-week coverage.
- Holiday and weekend coverage is required given the 7-day operational window.
- Occasional flexibility required to support operational needs outside standard coverage windows.
- Fast-paced, high-volume environment requiring quick turnaround on sourcing requests, quote evaluation, and booking confirmations.
- Attendance at L10 meetings and other scheduled team touchpoints is expected.
What Sets You Apart
- Familiarity with Part 135 charter operations, supplemental lift sourcing, or off-fleet coordination.
- Experience with Avinode, Stack.aero, or comparable aviation management and quoting platforms.
- Established relationships with supplemental lift providers or prior experience in a vendor-facing sourcing or coordination role.
- Demonstrated track record of exercising independent judgment in high-stakes, accuracy-critical environments.
- Ability to assist with servicing functions as training and business needs allow, supporting team flexibility and coverage depth.
