Position Title: Receptionist
Status: Full Time, Non-Exempt
Reports to: Office Manager

Summary: The Receptionist promotes the Truex brand of trust, reliability and excellence through his/her interactions with all who come into contact with the company. The Receptionist greets, welcomes, and cares for customers, carriers, and employees, whether over the phone, by email, or in person, with energy and sparkle. In many ways, the Receptionist is the most valuable employee at Truex because he/she is the first contact a customer has with our company. That first impression is critical to securing the new customer.
Essential Responsibilities:
The successful Receptionist will:
- Greet, welcome, and care for all customers with energy, interest and kindness, whether over the phone, by email, or in person.
- Provide personalized service by developing relationships with customers, and others, over time.
- Put extraordinary effort into assisting customers.
- Process weekly downloads from insurance carriers.
- Receive, process and prepare incoming mail for review. Scan and file mail electronically. Distribute hard copies to the appropriate staff.
- Prepare and post outgoing mail. Ensure mail is ready for pick up by the postal carrier.
- Monitor and maintain appropriate quantity of office supplies.
- Prepare correspondence for Producers.
- Assist Account Managers as requested.
- Perform other projects as assigned.
Knowledge, Skills and Abilities:
The successful Truex Receptionist:
- Must have an extraordinary ability to interact with, and take care of, people of diverse backgrounds, circumstances, and needs.
- Will work cooperatively and collaboratively with Staff at all levels, and be dedicated to a respectful and collegial work environment.
- Must be a self starter, and a life-long learner.
- Will have a thorough knowledge of office practices, procedures and equipment.
- Will have excellent verbal and written communication skills. Adept at writing business letters and reports, editing and proofreading.
- High attention to detail and an ability to work successfully on several projects concurrently.
- Excellent time and task management, and organizational skills.
- Ability to type 55 WPM. Facility with a PC environment, and competence with Microsoft Office Suite. Ability to master Agency Management Software (AMS 360).
- Ability to sit and work at a computer for extended periods of time, manage multiple interruptions, move about an office environment, and to lift up to 20 pounds occasionally, with reasonable accommodation as needed.
Other Requirements:
- High School diploma.
- Spanish speaking a plus, but not required.
