Position Summary
We are seeking an enthusiastic and detail-oriented Patient Services Representative (PSR) to join our dedicated team at a busy pediatric medical clinic serving the Norwood and Franklin communities. As a key member of our front office staff, you will be the first point of contact for patients and families, providing exceptional customer service while supporting the day-to-day administrative operations of the practice. This role requires strong interpersonal skills, the ability to multitask, and a commitment to delivering a welcoming and efficient experience for our patients.
Key Responsibilities
Patient Interaction & Front Desk Support
- Greet patients, families, and visitors with a friendly, professional demeanor.
- Assist with patient check-in and check-out procedures, ensuring accuracy in all documentation.
- Answer incoming calls promptly and direct inquiries appropriately using a multi-line phone system.
- Provide clear and courteous communication to patients in person, over the phone, and via electronic platforms.
Scheduling & Appointment Management
- Schedule, confirm, and reschedule appointments according to provider availability and patient needs.
- Monitor and accommodate walk-ins and same-day appointment requests where possible.
- Coordinate follow-up appointments, referrals, and any required documentation.
Insurance, Billing & Payments
- Verify insurance eligibility and document verification accurately in the patient’s electronic medical record (EMR).
- Collect co-pays and outstanding balances at time of service with 100% accuracy.
- Post payments and balance daily receipts for end-of-day reconciliation.
- Review and update patient demographic and insurance information at each visit.
Administrative Duties
- Maintain confidentiality and adhere to HIPAA regulations at all times.
- Manage incoming and outgoing mail and package deliveries.
- File, archive, and retrieve medical records and correspondence.
- Support team members and clinical staff with clerical tasks as needed.
- Help ensure the front office area is clean, organized, and welcoming.
Qualifications
- High school diploma, GED, or equivalent required.
- Minimum of one (1) year experience in a healthcare setting, preferably pediatric or primary care.
- Prior experience with EPIC electronic medical records system strongly preferred.
- Bilingual candidates (especially Spanish) are highly encouraged to apply.
- Proficiency in general office equipment and technology, including computers, fax machines, scanners, and multi-line phones.
- Understanding of basic medical terminology, insurance billing, CPT coding, and managed care referral procedures.
- Demonstrated ability to provide compassionate, respectful, and efficient service in a fast-paced environment.
- Excellent communication, organization, and problem-solving skills.

Pay: $23.00 - $28.00 per hour
