Administrative and Accounting Assistant

Compensation: $45,000–$50,000 per year (Based on Experience)

Position Summary
The Administrative and Accounting Assistant provides administrative, customer service, order entry, and accounting support to ensure the efficient daily operation of our office. This position requires excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities Customer Service
- Answer incoming telephone calls and direct them to the appropriate department.
- Assist customers with invoices, order status, pickup requests, and general inquiries.
- Provide professional service to walk-in customers.
- Prepare customer invoices and delivery paperwork.
- Email invoices and maintain accurate customer records.
Order Entry & Operations Support
- Enter customer orders and pickup requests into company systems.
- Maintain scheduling boards and daily order tracking.
- Prepare documentation for next-day delivery routes.
- Monitor special orders and ensure timely completion.
- Track customer items from receipt through completion.
Accounting Support
- Enter vendor invoices into the accounting system.
- Process purchase orders and verify pricing accuracy.
- Post customer payments and apply credits accurately.
- Prepare monthly customer statements.
- Follow up on past-due customer accounts.
- Support the accounting department with additional administrative tasks as needed.
Administrative Responsibilities
- Maintain organized customer files and documentation.
- Manage incoming and outgoing mail.
- Order and maintain office supplies.
- Maintain a clean, organized, and professional office environment.
- Assist management with special projects and general office support.
QualificationsRequired
- High School Diploma or GED.
- Minimum of 2 years of administrative, receptionist, customer service, or office support experience.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Professional telephone etiquette.
- High attention to detail and accuracy.
Preferred
- Bilingual (English/Spanish) is a plus.
- Experience with Microsoft Excel and Microsoft Word.
- Experience with NetSuite or similar accounting software.
- Basic accounting or bookkeeping experience.
- Experience working in a service, logistics, transportation, or operations environment.
