Medical Bridges is a lifesaving, award-winning, small nonprofit that has shipped $200 million in surplus medical equipment and supplies to impoverished communities in developing nations and countries in crisis. In the last three years, 700 tons of desperately needed medical material worth $34 million were shipped to places where gloves are a luxury and medical equipment we take for granted doesn’t exist. Medical Bridges’ global humanitarian mission has served 107 countries.
About the Job
We are seeking a proactive, organized, and detail-oriented Executive Assistant to support our executive leadership team and daily office operations. This role is ideal for a motivated professional who thrives in a fast-paced environment and takes pride in delivering exceptional administrative support. Arranging and scheduling meetings for the CEO with donors, Board members, partners, friends, and colleagues of Medical Bridges is an essential requirement of this position.
This is a full-time, in-office position based near NRG. The standard schedule is Monday through Friday, 7:30 AM to 4:15 PM, though flexibility is required based on business needs and executive schedules.
Executive Support
- Reports to and works closely with the CEO
- Assists and supports administrative functions
- Managing and maintaining complex calendars and coordinating appointments, meetings, and conference calls
- Monitors and responds to the executive's email, prioritizing items requiring attention, and routing requests to others for action
- Tracks tasks and projects, keeping work moving forward.
- Assists with event coordination and management of team events, including scheduling group meetings, sending out invites, reserving the location, arranging for catering/food service needs, and assembling packets of materials
- Arranges for executive travel
- Prepare expense reports
- Serves as liaison with and secretary for Medical Bridges Advisory Council
- Supervises the receptionist, who is also the volunteer coordinator
- Performs other duties as assigned.
Qualifications
- Proven administrative experience supporting senior executives or leadership teams
- Strong proficiency in Microsoft Office Suite, Outlook, Excel, Word, and PowerPoint, and other applications
- Excellent organizational, time management, and multitasking abilities
- Strong verbal and written communication skills
- Professional demeanor with the ability to handle confidential information discreetly
- Ability to adapt easily to a fast-paced and dynamic environment
- Possess excellent interpersonal skills and maintain a pleasant demeanor
- Understand and support the overall mission of Medical Bridges.

Pay: $55,000.00 - $65,000.00 per year
