ABOUT THIS ROLE
The Wellness Concierge is the heart of the Resilience member experience — the warm, organized, people-first presence that makes every member feel seen, supported, and excited about their health journey.
This role is for someone who loves doing a little bit of everything. On any given day you might be welcoming a new member, coordinating an upcoming community event, following up with a prospect who attended a webinar, or making sure the front office runs like clockwork. No two days are exactly the same, and that’s exactly what makes it energizing.
The enrollment and outreach side of this role is something we will train and coach you on — what we can’t teach is a genuine love of people, natural warmth, and the organizational instincts to hold it all together. If that’s you, we’ll take care of the rest.
WHAT SUCCESS LOOKS LIKE
Within your first 3–6 months, you will have:
- Built warm, trusted relationships with our members and made them feel genuinely cared for at every touchpoint
- Taken confident ownership of member outreach, follow-up, and event coordination
- Become the go-to person for keeping the front office and member experience running smoothly
- Grown comfortable with discovery conversations — helping prospects feel informed, supported, and ready to take the next step in their health journey
- Contributed meaningfully to a team culture where everyone shows up, communicates openly, and takes pride in their work
KEY RESPONSIBILITIES
Member & Prospect Outreach
- Serve as the first point of contact for new prospects — warm, welcoming, and genuinely curious about their health goals
- Conduct discovery conversations that help prospects understand our programs and feel supported in deciding whether it’s the right fit
- Manage the discovery call calendar and proactively follow up to keep momentum going
- Document prospect health concerns to keep Dr. Koontz informed and prepared
- Conduct week-out check-ins and 24/48-hour reminders for upcoming Wellness Evaluations
Event Coordination
- Coordinate and help host community educational dinner talks, webinars, and health events
- Handle all event logistics from start to finish: invitations, confirmations, setup, hospitality, and follow-up
- Execute qualifying and reminder outreach for events with accuracy and warmth
- Schedule follow-up Wellness Evaluation appointments after events and set clear expectations for attendees
- Debrief with the team after every event to keep improving the experience
Webinar & Digital Outreach Support
- Help schedule, host, and moderate live and pre-recorded webinars
- Manage lead tracking through our CRM (Go High Level) and keep follow-up timely and organized
- Support attendance tracking and engagement reporting
Social Proof & Community Building
- Gather member testimonials and Google Reviews as part of building our community presence
- Support social media posting and monthly newsletters
- Help maintain and grow our referral program
Front Office & Administrative Support
- Manage incoming communications: email, phone (Spruce), and patient messages (Charm)
- Welcome walk-in members and assist with supplement questions and purchases
- Keep the front office organized, stocked, and running smoothly
- Support Dr. Koontz by keeping her schedule full, prepped, and well-prepared
SKILLS & QUALIFICATIONS
Must-Have
- A genuine love of people — you get energy from connection and conversation
- Natural warmth and the ability to make anyone feel welcome and at ease
- Strong organizational skills and the ability to juggle multiple things without dropping the ball
- Excellent written and verbal communication — warm, clear, and professional
- Self-directed and reliable — you follow through without being reminded
- Comfortable with tech and quick to learn new tools and systems
- 2+ years of customer service, client relations, hospitality, healthcare, or a related people-facing role
Nice to Have
- Background in wellness, integrative health, or naturopathic medicine
- Experience in event coordination or community outreach
- Familiarity with CRM tools, scheduling platforms, or social media management
- Experience with Charm EHR, Go High Level, or similar platforms

COMPENSATION & BENEFITS
- Compensation: $23–$30/hr based on experience
- Monthly performance bonus program — when the practice wins, you win
- Schedule: Monday–Friday; some Tuesday evenings for events; occasional weekend training
- Travel: 1–2 times per year for team development

We want to be fully transparent about this upfront so you can make an informed decision before investing your time in our process.
Many team members access coverage through a spouse or partner, the ACA marketplace, or a health-sharing plan. We’re happy to discuss options during the interview process.
