Job Overview
We are seeking a highly organized, professional, and client-centered Office Assistant to support our growing practice with offices in Shelton & Fairfield, CT.
This role serves as the first point of contact for clients and plays an essential part in maintaining smooth daily operations. The ideal candidate is warm, detail-oriented, proactive, and interested in being part of a busy team within a behavioral health setting.
Key Responsibilities
- Serve as the first point of contact by answering phones, responding to emails, and providing general practice information to potential and existing clients
- Support the new client intake process by gathering required information, matching clients with appropriate clinicians, scheduling appointments, and issuing required patient documentation
- Manage client scheduling, appointment coordination, cancellations, and waitlists for multiple therapists and medication providers
- Verify insurance benefits, eligibility, and authorizations as needed; communicate coverage details to clients as needed
- Support billing processes including processing copays and payments, and assisting with claim follow-up and insurance issues
- Maintain accurate and organized electronic health records, forms, and required documentation
- Ensure compliance with HIPAA and practice policies in all client communications and record handling
- Communicate with clinicians regarding their clients and any changes to schedules
- Provide administrative support to practice leadership, including reports, scheduling, and special projects
- Assist with client transitions, referrals, and communication during provider changes or leaves
Qualifications
- Prior office administrative, front desk, or support experience in a medical, mental health, or healthcare setting preferred
- Interest in learning medical billing and insurance processes
- Strong communication skills, organizational skills and attention to detail
- Ability to handle confidential information professionally
- Reliable, punctual, professional and comfortable in a fast-paced environment
Skills
- Clear and professional written and verbal communication
- Strong time-management and multitasking ability
- Comfort using Electronic Health Records (EHR) systems
- Basic knowledge of insurance verification and copay processing
- Problem-solving mindset with strong customer service skills
