Lexus of Pembroke Pines is looking for dedicated Service Advisors to join the Service team.
Job Summary
The Service Advisor is the dealership’s first-line customer-relations and service sales representative. This position encompasses the customer satisfaction and the vehicle related problems, meeting pre-determined sales service objectives, and the accurate performance of designated administrative activities.
Essential Functions:
Specific Service Sales duties:
- Greets customers by saying “Welcome” and introduce yourself in a friendly manner to maintain high customer satisfaction standards. When possible, obtains customer and vehicle data prior to arrival.
- May schedule service appointments.
- Presents a service menu of recommended maintenance services to every customer.
- Keeps customers informed at all time, making status calls or text to provide customers with progress of their vehicle. If any additional repairs are required, make sure to get proper authorization from the customer before the job is performed.
- Handles incoming calls promptly and courteously regarding appointments and work in process and make every effort to satisfy customer’s inquiry.
- Writes up customer’s vehicle concerns accurately and clearly on repair order. Listen to the customer.
- Handles minor customer complaints and/or misunderstanding with courtesy, tact and in a manner that does not further aggravated problems. If customer is still not satisfied, personally turn over to the designated management representative.
- Obtains accurate parts and labor prices for all customer pay and internal operations using the appropriate parts price sources and labor pricing guidelines.
- Obtains properly documented telephone approval for all add-on sales when customers are not at the dealership.
- Informs the VIP/Sales Manager of potential new vehicle customer.
Specific Administrator duties:
- Refers to service history, inspect vehicle, and provides complete and accurate written cost estimates for all the services or repairs recommended and establishes “promised time” to satisfy customer’s concerns.
- Establishes customer’s method of payment, obtaining credit approval if necessary.
- Checks on progress of repair throughout the day.
- Reviews repairs orders to ensure completion of work, additional work and authorization is noted. Pay close attention to customer’s signature, every repair order must be signed.
- Stays in constant contact with the technical team about any changes to job status and keep them updated on the shop's workload so they know what kind of work the shop can handle rapidly.
- Document flat rate time and other required time-keeping according to the service department and/or manufacturer’s procedures.
- Maintains a record of special parts orders status.
- Contact customer to pick-up vehicle and return the loaner. Explain completed work and all charges to the customer.
- Close repairs orders as appropriate.
- Prepares and reviews estimates for extended warranties and insurance claims.
- Notifies management right away of any circumstance or state that compromises the integrity, welfare, or safety of the dealership, its staff, or its customers.
- Keeps work area clean.
- May perform other duties assigned by management.
Required Education & Experience:
- High School Diploma or general education degree (GED); or one to two years of related experience and/or training; or equivalent combination of education or experience.
- Need to earn the certification relevant to Manufacturer on a yearly basis.
- Basic knowledge of vehicle preventive maintenance.
- Basic knowledge of internet software and order processing system.
- Must have a valid driver license with an acceptable driving record which shall be reviewed by Human Resources as needed.
- Previous customer service experience preferred.
- Previous sales/negotiations experience preferred.

- Basic math capabilities such as the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals, and compute rate, ratio, and percent and to draw and interpret bar graphs.
- Intermediate reasoning capabilities such as the ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form, and deal with problems involving several concrete variables in standardized situations.
Physical Demands:
While performing the duties of this job the employee is regularly required to talk or hear, frequently required to stand and walk, and occasionally required to sit; use hands to finger, handle, feel, reach with hands and arms, stoop, kneel, crouch, or crawl, smell, and occasionally lift and/or move up to 50 pounds.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception.
Employee must be able to use different type of equipment and/or tools: computers, tire pressure gauge, flashlights, etc.
The employee is expected to make quick decisions, communicate with visitors or customers, remember processes, maintain focus, complete tasks independently, complete tasks in situations that have a speed or productivity objectives and/or sales quota.
Work Environment:
While performing the duties of this job the employee is frequently exposed to outside weather conditions.
The employee is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually moderate.
Other:
- Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position.
- Due to the critical nature of the automotive industry, employees may be required to work varying schedules to reflect the business needs of the dealership. In addition, attendance at all schedule training sessions and meetings is required.
