We are seeking a detail-oriented, motivated Billing Administrative Assistant to join our team. This is an entry-level position with full training provided. The Billing Assistant will support the accounting department with a range of administrative duties, working with both internal teams and external systems to ensure accurate, timely reporting.
Key Responsibilities

Collaborate with the team in a supportive, professional environment

Request and follow up on all change orders; maintain the internal change order log

Prepare and send weekly billing for residential clients

Research and follow up on residential collections

Follow up with project managers on missing documentation or requirements

Maintain and process lien waivers

Accurately enter data into accounting and project management systems

Review subcontractor pay applications for accuracy before processing

Verify project information in project management software

Assist with accounting administrative tasks and document control

Perform project close-out reconciliations and resolve billing discrepancies

Review project setup documents and client change orders for completeness

Manage communications with vendors, clients, and subcontractors as needed

Respond to staff and client requests in a timely manner
Qualifications

Bachelor's or Associate's degree, or equivalent work experience

Prior billing/invoicing experience preferred; exposure to pay applications a plus

Proficiency in Microsoft Office, especially Excel, required

Strong verbal and written communication skills

Ability to multitask and manage multiple projects simultaneously

Familiarity with certified payroll a plus

Experience with web-based sales/accounting platforms (especially those that export to Excel) a plus
