The Ideal Person:
We are seeking an organized, dependable, and customer-focused Flooring Operations & Accounts Receivable Coordinator to join our team. This position combines installation scheduling and coordination with accounts receivable responsibilities, making it a key role in keeping our flooring projects moving smoothly and our customer accounts current.
The ideal candidate is highly organized, comfortable working with customers and installers, has excellent attention to detail, and can manage multiple priorities in a fast-paced flooring environment.
Key Responsibilities:
Scheduling & Operations
- Schedule flooring installations, deliveries, measurements, and service appointments.
- Coordinate installation schedules with customers, sales staff, warehouse personnel, and subcontractors.
- Confirm appointments and communicate schedule changes to customers and installers.
- Monitor installation schedules to ensure jobs are completed on time.
- Identify scheduling conflicts and work proactively to resolve them.
- Maintain accurate job and installation records.
- Coordinate material availability with the warehouse and installation teams.
- Communicate job status and scheduling issues to management and sales staff.
- Assist with resolving customer concerns related to scheduling and installation.
- Follow up on incomplete, delayed, or service-related jobs.
Accounts Receivable
- Prepare and send customer invoices and statements.
- Post customer payments accurately and in a timely manner.
- Monitor outstanding customer balances and aging reports.
- Contact customers regarding past-due balances in a professional and courteous manner.
- Research and resolve billing discrepancies.
- Coordinate with sales and operations when questions arise regarding invoices, credits, change orders, or job balances.
- Process credit card, check, ACH, and other customer payments as applicable.
- Maintain accurate customer account records.
- Assist with month-end accounts receivable procedures and reporting.
- Help ensure completed jobs are invoiced promptly and accurately.
Customer Service & Administrative Support
- Serve as a point of contact for customers regarding scheduling, billing, and account questions.
- Provide professional and friendly communication by phone, email, and in person.
- Maintain accurate documentation in company software and customer files.
- Assist management and other departments with administrative tasks as needed.
- Protect customer and company information and maintain confidentiality.
Qualifications:
- Previous experience in scheduling, customer service, accounts receivable, bookkeeping, or office administration preferred.
- Flooring, construction, home improvement, or installation industry experience is a plus.
- Strong organizational and time-management skills.
- Excellent attention to detail.
- Strong written and verbal communication skills.
- Comfortable communicating with customers, installers, vendors, and coworkers.
- Ability to prioritize multiple tasks and meet deadlines.
- Proficiency with Microsoft Office and general computer applications.
- Experience with RFMS or other flooring-industry software is a strong plus.
- Ability to work independently while also being an effective member of a team.

Pay: $18.00 - $22.00 per hour
