Part-Time Patient Coordinator – Medical Spa
Location: Gainesville & Warrenton, VA
Schedule: Part-Time (20–25 hrs/week)
Start Date: Immediately
The Spa Clinic is looking for an experienced patient care coordinator with sales experience and organizational experience.
- Greet and check-in patients, creating a welcoming and high-end experience
- Answer phone calls, return voicemails, and respond to patient inquiries
- Schedule appointments and manage daily provider schedules
- Educate patients about services, membership options, and skincare products
- Support patient consultation flow and treatment coordination
- Handle payments, invoices, and follow-up communication
- Maintain cleanliness and organization of front desk and lobby
- Work closely with providers and clinical team to ensure seamless patient care
- Prior experience in a medical spa, luxury hospitality, or medical office preferred
- Previous sales experience preferred, especially in aesthetics, wellness, or luxury service industries
- Comfortable working with sales goals, memberships, and commission-based incentive structures
- Professional, friendly, and polished communication and presentation
- Strong organizational skills and ability to multitask smoothly
- Comfort engaging with patients and discussing aesthetic services
- High level of discretion and professionalism with patient information
- Tech-savvy and willing to learn our scheduling/EMR systems
