We are seeking a dynamic and highly organized Office Assistant to join our team! Responsibilities
- Manage multi-line phone systems, answer inquiries with professionalism, and direct calls efficiently using excellent phone etiquette.
- Perform data entry tasks accurately within spreadsheets and database systems, ensuring all records are up-to-date and organized.
- Handle office and Human Resources duties, managing appointment schedules, and maintaining a tidy work area.
- Support office management tasks such as filing, document proofreading, and maintaining organized records for easy retrieval.
- Assist with internal/client communication through email and phone support, providing exceptional customer service and support.
- Utilize Microsoft Office Suite (Word, Excel, Outlook, Power Point, TEAMS), Busybusy, and Google Workspace tools to prepare reports, correspondence, record keeping, communications and presentations.
- Coordinate calendar management for staff or executives, scheduling meetings and ensuring timely follow-up on action items.
Qualifications
- Proven office experience or clerical background with strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with productivity software.
- Excellent computer literacy including data entry, typing speed, proofreading, and document formatting.
- Experience with Yardi is a plus; familiarity with multi-line phone systems preferred.
- Bilingual abilities is a plus to assist diverse clients and team members effectively.
- Strong customer service skills with the ability to handle office/Human Resources responsibilities professionally.
- Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment.
- Previous experience in a construction/development office is advantageous but not required.

Pay: $18.00 - $22.00 per hour
