Position Summary
We are seeking a highly organized, compassionate, and detail-oriented Home Health Care Scheduler to join our growing team. The Scheduler plays a vital role in coordinating caregiver schedules, ensuring clients receive exceptional care while maintaining efficient staffing coverage. This position requires excellent communication skills, the ability to multitask in a fast-paced environment, and a commitment to providing outstanding customer service to both clients and caregivers.
Key Responsibilities
- Create and maintain daily and weekly schedules for caregivers
- Match caregivers with clients based on availability, skills, location, and client preferences.
- Coordinate coverage for call-offs, vacations, emergencies, and last-minute staffing needs.
- Communicate schedule updates promptly with caregivers, clients, and office staff.
- Monitor and adjust schedules to maximize efficiency while minimizing overtime and travel time.
- Maintain accurate scheduling records in the agency's scheduling software.
- Verify caregiver availability and assist with onboarding schedules for new hires.
- Coordinate start-of-care visits and ongoing client services.
- Work closely with the clinical and administrative teams to ensure continuity of care.
- Answer incoming phone calls and respond professionally to scheduling requests and concerns.
- Maintain compliance with agency policies, state regulations, and payer requirements.
- Assist with after-hours scheduling on a rotating basis, if applicable.
Qualifications
- High school diploma or GED required
- Previous scheduling or staffing experience required.
- Home health care, hospice, or healthcare staffing experience strongly preferred.
- Excellent organizational and time management skills.
- Strong problem-solving and decision-making abilities.
- Exceptional communication and customer service skills.
- Ability to remain calm and professional in a fast-paced environment.
- Proficiency with Microsoft Office.
- Ability to prioritize multiple tasks while maintaining attention to detail.
Preferred Skills
- Knowledge of Medicare and Medicaid home health operations.
- Experience working with EVV and home care scheduling systems.
- Familiarity with caregiver credentialing and compliance requirements.
- Strong interpersonal skills with the ability to build positive relationships with clients and staff.
Physical Requirements
- Ability to sit for extended periods while working at a computer.
- Frequent telephone communication.
- Occasionally lift up to 20 pounds.
