Position Summary
The Clinical Supervisor & Front Office Supervisor is a leadership position responsible for overseeing outpatient clinical operations, front office workflows, and staff supervision at Vision Towards Peace Counseling Services (VTP). This role provides supervision and support to clinicians and front-office coordinators while promoting efficient operations, high-quality client care, positive client experiences, and regulatory compliance.
The Clinical Supervisor & Front Office Supervisor work collaboratively with the Clinical Director, BCM Supervisor, CYF Service Coordinator & Compliance Manager, psychiatric providers, and administrative staff to support daily operations, workflow coordination, documentation quality, scheduling oversight, and overall program effectiveness.
The ideal candidate is organized, approachable, solutions-focused, and experienced in behavioral health leadership, outpatient operations, and staff supervision. This position requires the ability to balance clinical oversight with operational leadership in a fast-paced behavioral health environment.
Key Responsibilities
Clinical Supervision & Leadership
- Provide clinical supervision, guidance, and consultation to outpatient clinicians to support the delivery of quality behavioral health services.
- Monitor clinician productivity, caseload management, scheduling practices, and documentation compliance.
- Support clinicians with treatment planning, case consultation, client engagement strategies, and service coordination.
- Ensure treatment plans are developed, reviewed, and updated in accordance with agency expectations and applicable outpatient behavioral health regulations, including 55 Pa. Code §5200.31.
- Review clinical documentation for quality, timeliness, and compliance with agency standards and regulatory requirements.
- Support clinicians in maintaining documentation completion timelines, including treatment plans, treatment plan reviews, progress notes, and discharge summaries.
- Participate in clinician onboarding, training, supervision, coaching, and performance evaluations.
- Foster a supportive, collaborative, and accountable work environment for clinical staff.
- Assist with crisis consultation and coordination as needed.
Front Office Supervision & Operations
- Supervise Front Office Coordinators and oversee daily front office operations.
- Support scheduling workflows to ensure efficient appointment coordination and client communication.
- Monitor front office performance, attendance, workflow efficiency, and customer service expectations.
- Ensure front office staff maintain a professional, organized, welcoming, and trauma-informed environment for clients and visitors.
- Support implementation of front office procedures related to:
- client intake coordination
- scheduling
- engagement workflows
- attendance tracking
- telehealth coordination
- scanning/uploading documentation
- client communication
- insurance verification support
- Assist with oversight of office organization, supply management, and administrative workflow processes.
- Collaborate with administrative staff to improve operational efficiency and client experience.
Operational & Compliance Support
- Collaborate with the Clinical Director and leadership team on operational improvements, workflow development, and quality improvement initiatives.
- Support agency compliance efforts related to outpatient documentation standards and clinical operations.
- Work collaboratively with the CYF Service Coordinator & Compliance Manager regarding audit readiness, workflow implementation, and quality assurance initiatives.
- Support implementation of agency policies, procedures, and best practices.
- Promote consistency in documentation standards, supervision expectations, and operational processes.
- Participate in leadership meetings, supervision meetings, program planning activities, and agency initiatives.
- Assist with staff scheduling coordination and operational coverage planning.
Qualifications
Education & Experience
- Master’s degree in Social Work, Counseling, Psychology, Sociology, or a related behavioral health field required.
- Pennsylvania licensure preferred (LCSW, LSW, LPC, LMFT, or equivalent).
- Minimum of 2 years of outpatient behavioral health or mental health experience required.
- Previous supervisory or leadership experience strongly preferred.
- Experience supervising clinicians and/or administrative staff preferred.
- Experience working in outpatient behavioral health settings preferred.
Preferred Skills & Knowledge
- Knowledge of outpatient behavioral health regulations and documentation standards.
- Strong leadership, organizational, interpersonal, and communication skills.
- Ability to manage competing priorities in a fast-paced environment.
- Strong problem-solving and conflict-resolution skills.
- Experience with electronic health record systems preferred (AdvancedMD preferred).
- Ability to support staff development, accountability, and workflow management.
- Strong attention to detail and ability to maintain confidentiality.
Physical & Work Requirements
- Ability to sit, stand, walk, and utilize office equipment for extended periods of time.
- Ability to communicate effectively in person, virtually, and by phone.

Pay: $58,000.00 - $61,000.00 per year
