Office Assistant / Receptionist
We are seeking a dynamic, organized, and professional Office Assistant/Receptionist to join our team. This role is essential in creating a welcoming environment for clients and visitors while helping ensure the smooth operation of daily office activities.
The ideal candidate is proactive, detail-oriented, dependable, and has excellent communication skills. This position requires someone who can manage front desk responsibilities, handle a multi-line phone system, assist with administrative duties, and help maintain an organized and professional office environment.
Responsibilities
· Greet visitors and clients warmly and direct them appropriately.
· Answer and manage multi-line phone calls using proper phone etiquette.
· Respond to inquiries, transfer calls efficiently, and take accurate messages.
· Handle incoming and outgoing correspondence, including emails, mail, and packages.
· Maintain organized filing systems and assist with accurate record keeping.
· Perform data entry using Microsoft Office, Google Workspace, and other office systems.
· Assist with appointment scheduling, calendar management, and meeting coordination.
· Provide general clerical support, including proofreading documents, organizing files, and managing office supplies.
· Keep the front office and common areas neat, stocked, and professional.
· Restock the refrigerator, candy, candles, and other office items as needed.
· Ensure thermostats are properly adjusted and the office remains comfortable.
· Assist with other light administrative and office support duties as assigned.
Requirements
· Must speak Spanish. Bilingual skills are required to assist our diverse clients.
· Prior office, receptionist, clerical, or administrative experience preferred.
· Strong organizational skills and attention to detail.
· Proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
· Familiarity with Google Workspace, including Gmail, Google Drive, Docs, and Calendar.
· Excellent customer service and communication skills.
· Ability to handle phone calls professionally, courteously, and efficiently.
· Experience with multi-line phone systems, filing, data entry, and basic bookkeeping preferred.
· Strong time management skills and ability to prioritize tasks in a fast-paced environment.
· Prior experience as a receptionist, office assistant, personal assistant, or medical/dental receptionist is a plus.
· Ability to proofread documents and maintain accuracy in administrative tasks.
· Positive attitude, reliability, and willingness to help wherever needed.

Pay: $17.00 - $18.00 per hour
