Job Purpose
· To provide day-to-day accounting support to the Finance Manager to ensure that company’s financial and reporting targets are met.
Position Description
· The Accounting Assistant is responsible for computing, classifying and verifying numerical data for use in maintaining accurate accounting records and receiving/processing payments. Compiles records, verifies and maintains data and payments to AP and AR records.

Key Responsibilities
Accounts Payable:
· Register approved purchase invoices onto accounting system
· Post authorized expenses and ensure they are compliant with the Travel and Expense policy
· Prepare weekly vendor payment run and ensure purchase invoices are paid within due terms
· Perform weekly and monthly reconciliation of company credit card transactions
· Liaise with company credit card users, including crew members, to resolve expense discrepancies
· Post company credit cards transactions onto accounting system
· Compare supplier statement of accounts to accounting system records, investigate and resolve any AP discrepancies
· Produce weekly creditors report
· Ensure unauthorized invoice are investigated and cleared
Accounts Receivable:
· Raise sales invoices accurately and agreed to timescales, as per brokers and sales staff requests
· Produce statements of accounts for clients, as needed
· Liaise with brokers and sales staff to contact customers with overdue balances and resolve AR issues or discrepancies
· Register customer payments onto accounting system on a timely manner
· Prepare weekly debtors report with commentary on problems debtors (past due)
Other:
· Assist with the monthly, quarterly and year-end closing process
· Assist with the annual audit process
· Provide coverage support with the Accounts Department during holidays, sickness or busy periods
· Perform ad-hoc projects and any other tasks or duties, as assigned by the Finance Manager
· Be aware of and comply with the company policies and guidelines in areas related to human resources, IT, administration, accounting, audits and working hours
Skills & Experience
Experience
· Associate’s degree in accounting or at least two years of satisfactory combination of experience, education and training which demonstrates the knowledge, skills and abilities to perform the duties is required
· Previous experience in charter aviation (Part-135) preferred
Qualifications:
· Ability analyze, consolidate and present accounting data in a clear and concise manner. Possess a strong attention to detail
· Ability to understand and execute verbal and written instructions in English
· Able to communicate effectively with others in English, verbally and written. Communicate on a regular basis with overseas affiliates, other departments, vendors, management, customers and staff
· Able to prioritize workload to meet deadlines and keep Finance Manager informed of progress on assigned projects
· Trustworthy in all aspects of the role, particularly when dealing with confidential and sensitive financial information
· Self-motivated and able to work with high degree of autonomy
· Possess a full appreciation of the value of cooperation in a team environment
IT Skills:
· Intermediate level of computer literacy and particularly high level of knowledge of Microsoft Excel, Word and Outlook
· Previous experience using Quickbooks systems preferred
