Responsibilities
- Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
- Manage multi-line phone system, screen calls, and direct inquiries efficiently using professional phone etiquette
- Handle front desk duties including scheduling appointments and coordinating meetings
- Perform data entry tasks with accuracy using spreadsheets, Microsoft Office applications, Adobe, and other programs
- Maintain organized filing systems—both digital and physical—and ensure all documents are properly stored and easily accessible
- Support office management activities such as ordering supplies, managing inventory, and assisting with bookkeeping using QuickBooks or similar software
- Assist with clerical tasks including proofreading correspondence, preparing Word documents, and supporting client communication efforts
Qualifications
- Proven experience in administrative support roles with strong clerical skills
- Proficiency with Microsoft Office Suite (Word, Excel), Adobe, and general computer knowledge
- Experience handling multi-line phone systems and demonstrating excellent phone etiquette
- Strong organizational skills with the ability to prioritize tasks efficiently and multitask in a busy environment
- Professional attitude and dependable work ethic
- Previous experience as a receptionist/administrative assistant for a surveying and engineering firm is not required but is considered advantageous
