About Us
FamilyTime Centers is rebuilding mental health care from the ground up, not with fluff, but by designing systems that support people in real life. We blend clinical rigor with human care, speed with intention, and structure with empathy. We move fast, hold high standards, and expect our systems to work under pressure.
This is not a legacy practice we're maintaining. It's a modern operation we're actively building, and growing fast. This role is central to getting there. If you believe people thrive inside clear, well-run systems and you take real ownership, you'll fit here.
The Role
You are the financial engine of the practice. You make sure the care we deliver gets paid for: cleanly, accurately, and on time. You keep our revenue cycle tight as we grow.
Straight talk about what you're walking into: we've grown faster than our back-office systems. You're inheriting a billing backlog to clear and workflows to tighten. If you're energized by fixing a fast-growing operation and building the system that scales it, this is one of the best roles you'll find. If you only want to maintain a clean, humming machine that already exists, this isn't it yet.
This is an ownership role, not data entry. You catch a bad claim before it becomes a denial. You adjust to a carrier's rule change before it costs us. You raise issues early and loudly. We'd rather hear it today than explain it next month. You ask sharp questions, then go get the answer.
What You'll Do Billing & Revenue Operations
- Run daily billing in Tebra accurately and on time.
- Post and reconcile remittances (ERAs/EOBs); keep every account clean.
- Work denials to resolution. Fix the root cause, prevent the repeat.
- Verify insurance eligibility before every session: confirm active coverage, co-pays, and deductibles up front, not after the claim bounces.
- Track authorizations and claims through to payment. Own the full cycle, with no drops, delays, or surprises.
Payments & Collections
- Collect co-pays and cash payments at point of service, accurately and professionally.
- Handle payment conversations calmly and with care; keep balances current with consistent follow-up.
Credentialing Coordination
- Serve as the internal point of contact for our credentialing partner (MedTrainer). Give them what they need, on time, so no provider ever lapses.
- Keep CAQH, PAVE/Medi-Cal, and carrier records current on our side; flag enrollment gaps early and hand them off proactively.
Systems & Documentation
- Keep billing records clean, accurate, and trusted.
- Spot inefficiencies early and automate what shouldn't be manual.
- Partner with leadership to strengthen billing workflows as we scale.
- Maintain HIPAA compliance and administrative integrity.
What You BringRequired
- 2+ years of medical billing experience, ideally in behavioral health.
- Working knowledge of California payers and Medi-Cal managed care (Molina, Blue Shield Promise, and others).
- Tebra or comparable EHR/billing software experience.
- Strong denial-management and reconciliation skills, with a bias for accuracy under volume.
- Ownership mindset: you act without being asked and raise problems early.
- Clear, direct communication; comfortable asking questions to get things right.
Bonus
- Certification (AAPC/AHIMA: CPB, CPC, or similar).
- Experience coordinating with a credentialing service or handling provider enrollment.
- Spanish or additional language fluency.
- Startup or high-growth experience.
- A low tolerance for "that's not my job."
