We are seeking an organized, detail-oriented, and people-focused Business Office Coordinator to join our senior living community. This is a key leadership support role responsible for helping ensure the smooth and efficient operation of the community's business office, including accounts receivable, accounts payable, payroll, human resources administration, resident billing, and general administrative support.

What You'll Do
As the Business Office Coordinator, you will serve as an essential resource for our residents, families, associates, department leaders, and Executive Director. Your responsibilities will include:
- Process pre-billing statements received from the corporate office and ensure accuracy and timely completion.
- Track and maintain documentation for all community accounting changes, including move-ins, move-outs, credits, rate adjustments, and other billing corrections.
- Prepare and process community invoices, coordinate with department managers regarding receipts and supporting documentation, prepare batch headers, and follow up with Accounts Payable and vendors as needed.
- Support accounts receivable functions, including resident billing, payment processing, account follow-up, and communication with residents and responsible parties.
- Complete payroll functions, including processing payroll, entering missed punches, identifying and tracking anomalies or deficiencies, and communicating necessary corrections to department leaders.
- Support Human Resources functions by assisting new associates with required onboarding documentation, benefits paperwork, and other employment-related forms.
- Facilitate new-hire orientation and provide new associates with essential company and community information.
- Ensure all required employment documentation is completed accurately and submitted to Human Resources in a timely manner.
- Track associate performance evaluations and follow up with department leaders to support timely completion.
- Assist with benefits administration and other Human Resources processes as needed.
- Provide administrative support to the Executive Director, including preparing documents and correspondence, answering organizational questions, coordinating information, and assisting with special projects.
- Organize and maintain personnel, resident, marketing, financial, and other community files in accordance with company policies and applicable requirements.
- Prepare correspondence, reports, forms, and other documents necessary to support daily community operations.
- Respond professionally and compassionately to resident and family requests and assist with coordinating services for residents, families, and guests.
- Maintain confidentiality and appropriately handle sensitive financial, personnel, resident, and business information.
- Participate in an on-call rotation as needed.
- Work occasional weekends, evenings, and holidays based on community needs.
- Perform other duties as assigned.
What We're Looking For
The successful candidate will be highly organized, dependable, approachable, and able to balance multiple priorities in a fast-paced senior living environment. You should be comfortable working independently while also collaborating closely with the Executive Director, department leaders, associates, residents, families, and corporate support teams.
Education & Experience
- Associate degree or equivalent combination of education and experience preferred.
- Minimum of two years of related administrative, business office, accounting, payroll, human resources, or senior living experience preferred.
- Previous experience in senior living, assisted living, healthcare, hospitality, property management, or a related service-oriented environment is a plus.
Knowledge, Skills & Abilities
- Exceptional organizational, multitasking, and prioritization skills with the ability to succeed in a highly dynamic environment.
- Strong attention to detail and commitment to accuracy, particularly when working with billing, payroll, personnel records, and financial documentation.
- Working knowledge of Microsoft Windows, Word, Excel, Outlook, and other business systems.
- Strong verbal and written communication skills with the ability to communicate professionally with residents, families, associates, vendors, and leadership.
- Ability to read, understand, and interpret policies, procedures, safety rules, operating instructions, and other business documents.
- Effective problem-solving skills and the ability to address routine issues using established guidelines while appropriately escalating more complex concerns.
- A strong service mindset and genuine desire to help residents, families, associates, and others who have questions or concerns.
- Ability to maintain professionalism, discretion, and confidentiality when handling sensitive information.
- Knowledge of OSHA, Safety Data Sheets (SDS), and related workplace safety procedures is preferred.
Physical & Scheduling Requirements
- Ability to lift, push, and/or pull up to 50 pounds, with or without reasonable accommodation.
- Ability to work occasional evenings, weekends, and holidays based on community needs.
- Availability to participate in on-call responsibilities as needed.

Pay: $60,000.00 - $75,000.00 per year
