Accounting & Administration Assistant – WinGen, TX
15–20 Hours per Week | Hybrid | Mustang Ridge/Buda, Texas
We are seeking a highly organized, detail-oriented professional to join our team as an Accounting & Administrative Assistant. This position is ideal for someone who enjoys wearing multiple hats and thrives in a fast-paced environment where no two days are the same.
Position Summary
The Accounting & Administrative Assistant provides administrative, bookkeeping, and human resources support to the Finance & HR Manager while assisting with various business operations. The successful candidate will play a key role in maintaining accurate financial records, supporting employee onboarding and benefits administration, coordinating projects, organizing company documentation, and helping ensure daily business operations run efficiently.

Primary Responsibilities
Accounting & Bookkeeping
- Enter financial transactions into QuickBooks Desktop
- Perform monthly bank reconciliations
- Reconcile company credit card statements
- Review invoices for accuracy and coding
- Maintain vendor records and W-9 documentation
- Assist with month-end closing activities
- Maintain organized accounting files and supporting documentation
- Assist with annual audits and CPA requests
- Track expenses and maintain financial records
Administrative Support
- Prepare correspondence, reports, spreadsheets, and presentations
- Organize electronic and paper filing systems
- Maintain company records and documentation
- Assist with contract organization and document management
- Schedule meetings and coordinate travel arrangements when needed
- Order office supplies and maintain inventory
- Support daily office operations and special projects
Human Resources
- Assist with new hire onboarding and orientation
- Prepare onboarding packets and employment documentation
- Maintain confidential personnel files
- Organize employee benefit enrollment documentation
- Assist with employee records and HR compliance
- Coordinate background checks and pre-employment paperwork
- Track required employee acknowledgments and training records
Project Coordination
- Assist with project management using ClickUp
- Track project timelines and deadlines
- Coordinate follow-up tasks across departments
- Maintain project documentation
- Help improve administrative processes and workflows
Qualifications
Required
- Minimum two years of bookkeeping, accounting, and administrative experience
- Experience using QuickBooks Desktop
- Strong Microsoft Office skills, including:
- Excel (formulas, sorting, filtering, PivotTables preferred)
- Word
- Outlook
- Teams
- PowerPoint
- Experience performing bank and credit card reconciliations
- Strong organizational and time management skills
- Excellent written and verbal communication
- High attention to detail
- Ability to prioritize multiple responsibilities
- Ability to maintain strict confidentiality
- Professional demeanor and positive attitude
Preferred
- Human Resources experience

- Associate degree in Accounting, Business Administration, Human Resources, or related field (or equivalent work experience)
