This position will work in the Miami-Dade Public Library System’s Collection Development and Technical Services Department located at the Main Library (101 W. Flagler St., Miami, FL 33130). This position reports to the Library Acquisitions Administrator. The Collection Development and Technical Services Department selects, processes, catalogs, and authorizes invoices for physical and digital materials. This position will be responsible for authorizing payment of invoices from library vendors in the library's Polaris ILS database and the County's Integrated Financial Resources Management System (INFORMS), subject to approval by the Library Acquisitions Administrator. This position will liaise with library branch staff to confirm receipt of materials and compare Polaris paid invoice reports with invoices authorized through the County’s INFORMS System. The role coordinates systemwide item tracking by creating Polaris record sets, verifying shipments, and communicating with vendors to resolve missing orders, process cancellations, or claim credits. Using software such as Microsoft Office Suite and SimplyReports, the position analyzes library data, diagnoses invoicing-linking errors to facilitate seamless payments, and updates department documents. Logistical duties include managing incoming mail distribution, processing non-EDI orders, managing incoming orders from closed branches, and creating supply orders for the department. The role maintains precise recordkeeping and provides clerical support for the department. This position may also process materials and perform other related duties as assigned.
