Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Coordinate calendar management, scheduling appointments, meetings, and conference calls for staff and executives
- Maintain accurate records through data entry, spreadsheets, and word processing using Microsoft Office and productivity software
- Oversee office supplies inventory, place orders as needed, and ensure the workspace remains organized and functional
- Provide exceptional customer service by assisting clients, vendors, and visitors with inquiries and support requests
- Handle clerical tasks such as proofreading documents, preparing reports, and managing correspondence with attention to detail
- Utilize QuickBooks for basic bookkeeping tasks including invoicing, expense tracking, and financial record keeping
- Support office management duties such as onboarding new employees, maintaining office policies, and ensuring compliance with procedures
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Demonstrated experience in office management or administrative roles with strong clerical experience
- Effective phone communication skills coupled with proper phone etiquette across multi-line systems
- Bilingual abilities are highly valued to assist diverse client needs and enhance team communication
- Knowledge of QuickBooks or similar accounting software for data entry and financial tasks
- Exceptional attention to detail for proofreading documents and managing schedules accurately
- Time management skills to prioritize tasks efficiently while maintaining high productivity levels
- Previous experience as a medical receptionist or personal assistant is a plus but not required
