We are seeking an experienced and highly accountable Office Manager to lead front office operations in a growing Allergy & Immunology practice. This is a hands-on leadership role with real ownership—ideal for someone who is confident making decisions, managing staff, and driving operational improvements independently.
You will serve as the operational lead of the front office and a key partner to the physician, with the ability to directly influence workflows, team performance, and the patient experience.
--Please note: This is not an entry-level role. Prior medical office management experience is required.--
Leadership & Team Management
- Supervise and develop office staff (3+ team members)
- Set expectations, monitor performance, and maintain accountability
- Address patient concerns and escalations with professionalism and sound judgment
Front Office Operations
- Oversee daily workflows to ensure efficiency, accuracy, and organization
- Maintain high standards for patient communication and service
- Ensure HIPAA compliance and adherence to office protocols
Insurance & Financial Coordination
- Verify eligibility and interpret benefits (copays, deductibles, coinsurance, frequency limits, etc.)
- Provide accurate patient cost estimates
- Manage prior authorizations and payer communication [IEHP]
- Assist in insurance management and billing operations
Operational Oversight & Growth
- Identify inefficiencies and implement workflow improvements
- Support administrative functions (insurance contracts, fee schedules, directory updates)
- Partner with the physician to implement and refine operational initiatives

We are looking to fill this role promptly so we can focus on optimizing operations, strengthening our team, and enhancing the patient experience. Candidates must be able to reliably commute to both office locations. Our primary office in Redlands operates during regular business hours Mon-Wed, with Fridays being a half day. Our Newport Beach location requires coverage only on Thursdays.
