Part-Time Front Office Team Member – Medical Aesthetics
We are seeking an experienced, polished, and highly personable Part-Time Front Office Team Member to join our medical spa team. This position is ideal for someone who genuinely enjoys creating an exceptional patient experience and understands the unique environment of a busy aesthetic medical practice.
A minimum of 1 year of front office experience in an aesthetic medical office, medical spa, plastic surgery, cosmetic dermatology, or similar aesthetic practice is required.
Our front office team is often the first and last impression our patients have of the practice. We are looking for someone who is warm and welcoming, exceptionally organized, confident communicating with patients, attentive to detail, and comfortable balancing multiple priorities while maintaining a calm and professional demeanor.
Part-Time Schedule
Candidates must be available for the following schedule:
- Tuesday: 10:30 AM – 8:30 PM
- Wednesday: 8:30 AM – 5:30 PM
- Friday: 8:30 AM – 3:30 PM
- Two Saturdays per month: 8:30 AM – 3:30 PM

What You'll DoCreate an Exceptional Patient Experience
- Warmly greet patients and create a welcoming, professional experience from arrival through departure.
- Perform patient check-in and check-out accurately and efficiently.
- Ensure required patient information, forms, consents, and signatures are complete and up to date.
- Anticipate patient needs and communicate effectively with providers and other team members.
- Monitor the reception area and help ensure patients remain comfortable and informed.
- Maintain a polished, organized, and inviting front office and reception area.
Scheduling & Patient Communication
- Answer incoming calls with warmth, professionalism, and excellent phone etiquette.
- Schedule and manage patient appointments accurately.
- Assist patients with questions regarding appointments, services, products, and pre- and post-treatment instructions within the scope of the position.
- Confirm upcoming appointments and communicate necessary appointment information.
- Follow up with missed appointments and assist with rescheduling.
- Help maintain an efficient flow of patients throughout the practice.
Checkout & Payments
- Accurately process patient payments at checkout.
- Enter charges and payments and assist with appropriate account adjustments or refunds.
- Maintain accuracy when handling financial transactions and daily reconciliation responsibilities.
- Provide a seamless checkout experience while assisting patients with scheduling future visits.
Support the Practice
- Perform scheduling, data entry, chart preparation, filing, and other administrative duties as needed.
- Communicate closely with providers and clinical team members to keep the patient schedule running smoothly.
- Assist with front-office product inventory, inventory counts, and communicating low-stock items.
- Support fellow team members and contribute wherever needed to provide an outstanding patient experience.

- Minimum 1 year of experience working in an aesthetic medical office, medical spa, plastic surgery, cosmetic dermatology, or similar aesthetic practice
- High school diploma or equivalent

- Basic proficiency with computers and office software
