At Lincolnwood Rehabilitation and Healthcare Center, we believe that accurate health information management and reliable supply coordination are essential to delivering safe, efficient, and high-quality resident care. Guided by our core values of Passion, Respect, and Excellence, the Medical Records/Central Supply Coordinator supports both the integrity of clinical documentation and essential supply operations to ensure seamless daily care delivery.
Manage resident health information to ensure records remain accurate, complete, current, and fully compliant with HIPAA and all federal and state regulations.
Create and maintain medical records for all new admissions, ensuring proper setup and documentation from day one.
Maintain organized order of open medical records in both paper and electronic formats.
Conduct routine audits of medical records at admission, during stay, and at discharge to ensure compliance with documentation standards, physician visit requirements, and timeliness of entries.
Upload and maintain documentation within the electronic medical record (EMR) system.
Process medical record requests in accordance with facility policies and confidentiality requirements.
Maintain closed medical records in compliance with company policies and retention guidelines.
Respond to telephone and written inquiries regarding medical records in a professional and timely manner.
Assist with central supply operations, including receiving, organizing, and distributing supplies to ensure adequate inventory levels across the facility.
Monitor supply usage and assist in maintaining appropriate par levels to support resident care needs.
Support ordering, stocking, and organization of central supply areas in accordance with facility procedures.
Perform other duties as assigned to support both medical records integrity and supply chain efficiency.
Minimum one (1) year of related experience required, preferably in a skilled nursing facility or healthcare setting.
High school diploma or equivalent required; some college coursework preferred.
Ability to manage physically demanding aspects of central supply operations, including lifting, moving supplies, and organizing inventory.
Strong attention to detail with excellent organizational and data entry skills.
Ability to provide excellent customer service to residents, families, and staff.
Basic understanding of medical records processes and/or willingness to learn EMR systems and documentation standards.
