Executive Sales Assistant (Part-Time)

Location: 100% Remote (U.S. Based & Pacific or Mountain Time Zones Preferred)
Schedule: Approximately 20 Hours/Week
Working Hours: Arizona Time Zone Preferred
- Morning Block: 7:30 AM – 9:30 AM AZ Time
- Afternoon Block: 2:30 PM – 4:30 PM AZ Time
Schedule may be flexible for the right candidate.
Compensation: $20-$40/hour
Bonus Opportunities: Performance-based bonuses, travel opportunities, and growth incentives.
Employment Type: Independent Contractor (1099) with potential to move to

About The Role:
BetterWealth is seeking a highly organized, proactive Executive Sales Assistant to support Alden Fortner, Managing Director of BetterWealth Architects.
This role serves as a workflow proxy for Alden, helping maintain momentum across sales, client communication, CRM management, scheduling, and operational follow-through.
The ideal candidate is not looking for freelance clients or side projects. We are looking for someone who wants to become an integrated part of a growing organization and help support a high-performing sales professional.
Your primary objective is simple: Protect Alden's time, maintain operational excellence, and ensure no client, opportunity, or task falls through the cracks.
Key Responsibilities:
CRM & HubSpot Management
- Maintain accurate HubSpot records
- Enter and organize meeting notes
- Update deal stages and custom properties
- Create and assign follow-up tasks
- Maintain CRM data integrity
- Follow established SOPs and documentation standards
Inbox & Communication Management
- Manage and triage incoming email
- Categorize communications by priority
- Draft responses for approval
- Monitor follow-up commitments
- Coordinate communication with clients and team members
Calendar & Scheduling
- Own and protect Alden's calendar
- Schedule client, partner, and team meetings
- Ensure appointments include proper links and preparation materials
- Build appropriate buffers between meetings
- Prevent scheduling conflicts and inefficiencies
Operational Coordination
- Coordinate with Sales Associates, Case Managers, and Servicing Team members
- Monitor active opportunities and client files
- Escalate bottlenecks when necessary
- Help ensure timely movement through the sales and underwriting process
Daily Executive Support
- Provide daily summaries of priorities and outstanding items
- Track action items and deadlines
- Identify workflow gaps before they become problems
- Assist with content preparation, research, and administrative projects as needed
Relationship & Client Experience Support
- Assist with personalized client and partner gifting
- Identify important milestones and relationship opportunities
- Help create memorable client experiences that reflect BetterWealth's service standards
Qualifications:
Required
- 2+ years of experience in HubSpot or a comparable CRM
- Experience supporting an executive, advisor, salesperson, entrepreneur, or business owner
- Strong organizational and communication skills
- Ability to manage multiple priorities simultaneously
- High attention to detail and follow-through
- Comfortable working independently in a remote environment

- Insurance industry experience
- Financial services experience
- Executive Assistant experience
- Project Coordination experience
- Life insurance, disability insurance, or underwriting familiarity
- Experience working in highly regulated environments
