Loan Operations & Administration Specialist

Location: Tampa Bay Area, Florida
Position: Full-Time
Compensation: $60,000–$75,000 Annually with Bonus
Position Overview
Bay Area Lending Services, LLC is seeking a highly organized, detail-oriented Loan Operations & Administration Specialist to support the day-to-day operations of our private real estate lending business.
This position is focused strictly on loan operations, administration, servicing, and internal coordination. The ideal candidate will be comfortable managing multiple active loans, maintaining accurate records, communicating with borrowers/investors and third-party vendors, coordinating closings and servicing activities, and ensuring that day-to-day operations run efficiently.
Key Responsibilities
Loan Servicing & Administration
- Manage day-to-day administration of active loans
- Track and process borrower payments
- Maintain accurate loan balances and payment histories
- Prepare and send payment notices, maturity notices, and other borrower communications
- Monitor loan maturities and loan extensions
- Coordinate payoffs and loan releases/satisfactions
- Maintain accurate and complete electronic loan files
- Track property insurance policies and renewal dates
- Obtain and maintain required insurance documentation
- Monitor property tax status and other property-related requirements
- Answer office phone and collect mail
Loan Processing & Closing Support
- Assist with the processing of new loan files after a deal has been approved
- Collect, organize and approve borrower pre-loan documentation
- Coordinate with title companies, closing attorneys, insurance agents, appraisers, and other vendors
- Track outstanding closing conditions and communicate with prospective borrower
- Coordinate and set closings with Borrowers, Title/Attorneys and Investors
- Maintain organized records throughout the loan lifecycle
Investor & Financial Administration
- Assist with investor payment administration and records
- Maintain accurate investor and loan-related documentation
- Assist with monthly financial and operational reporting
- Reconcile loan-related transactions and records
- Support management with operational reports and data
Borrower & Vendor Communication
- Serve as a primary administrative contact for borrowers regarding loan operations and servicing
- Communicate with title companies, attorneys, insurance agents, vendors, and other third parties with daily requested items
- Follow up consistently on outstanding items
- Ensure questions and requests are handled promptly and professionally
Technology & Process Improvement
- Assist with improving internal systems and operational procedures
- Identify opportunities to make loan processing and servicing more efficient
Social Media & Administrative Marketing Support
- Assist with limited day-to-day social media and administrative marketing tasks
- Help maintain company social media content and scheduling
Qualifications
- Experience in loan processing, commercial lending, private lending, title, real estate, accounting or a related field preferred
- Strong organizational, time-management and Follow up skills
- Extremely detail-oriented
- Strong quantitative skills
- Excellent written and verbal communication skills
- Ability to manage multiple transactions and deadlines simultaneously
- Proficiency with Microsoft Word, Excel, and digital file-management systems
- Ability to work independently without the need for constant oversight
- Professional demeanor when communicating with borrowers, investors, attorneys, title companies, and other vendorsIdeal Candidate

This person should be able to identify what needs to be done, prioritize competing deadlines, and make sure tasks are completed without management having to continually follow up.
The successful candidate will become an important part of the company's daily operations and will help ensure that loans are processed, serviced, documented, and administered accurately and efficiently.
We are a growing company so we would like the candidate to think of the position as a long term role with room for growth. We envision this individual to eventually take a management role and be able to train and supervise future processors in the same position.
Pay: $60,000.00 - $75,000.00 per year
