Position Summary
The Medical Receptionist serves as the first point of contact for patients and visitors at Central Arkansas Gastroenterology Clinic. This position is responsible for providing exceptional customer service while efficiently managing front office operations, patient scheduling, registration, insurance verification, and communication. The Receptionist plays a key role in creating a positive patient experience and ensuring the daily operations of the clinic run smoothly.
Essential Duties and Responsibilities
Patient Reception
- Greet patients and visitors in a professional, friendly, and compassionate manner.
- Check patients in and out accurately and efficiently.
- Verify patient demographics, insurance information, and required documentation.
- Obtain and collect co-pays, deductibles, balances, and other patient payments.
- Provide receipts and explain payment policies when needed.
- Maintain patient confidentiality in accordance with HIPAA regulations.
Appointment Scheduling
- Schedule new patient and follow-up appointments according to provider templates.
- Reschedule appointments as necessary.
- Confirm appointments.
- Manage provider schedules to maximize efficiency while maintaining excellent patient care.
Telephone Communication
- Answer incoming calls promptly using professional telephone etiquette.
- Direct calls appropriately or assist callers with scheduling, billing inquiries, and general questions.
- Return patient calls within established clinic standards.
- Document telephone encounters accurately within the electronic medical record.
Insurance & Registration
- Obtain referrals as necessary
- Scan and upload insurance cards, identification, and patient documents into the electronic medical record.
- Ensure registration paperwork is complete and accurate.
Administrative Support
- Maintain an organized reception area and waiting room.
- Process incoming faxes, mail, and patient forms.
- Prepare daily schedules and patient charts as needed.
- Assist providers and clinical staff with administrative requests.
- Monitor office supplies and notify management when inventory is low.
Patient Experience
- Provide excellent customer service to patients, families, providers, and coworkers.
- Address patient concerns professionally and escalate issues when appropriate.
- Assist patients with portal access and general office questions.
- Promote a welcoming, organized, and positive environment.
Compliance
- Follow all HIPAA, OSHA, and clinic policies and procedures.
- Maintain confidentiality of all patient information.
- Complete required training and attend staff meetings.
Qualifications
Required
- High school diploma or GED
- Minimum of 1 year of customer service experience
- Excellent verbal and written communication skills
- Strong computer and typing skills
- Ability to multitask in a fast-paced environment
- Strong organizational and time management skills
- Professional appearance and demeanor
Preferred
- Medical office or healthcare experience
- Experience scheduling patients
- Experience verifying insurance eligibility
- Familiarity with electronic medical records (Athenahealth, gGastro/gMed, or similar systems)
- Knowledge of medical terminology
Travel Requirements
This position requires regular travel between Central Arkansas Gastroenterology Clinic locations.
- Mondays & Thursdays: Little Rock Clinic
- Tuesdays & Wednesdays: Searcy Clinic
- Fridays: The employee's home base clinic (Little Rock or Searcy) will be determined based on clinic needs and may change as necessary.
Employees must have a valid driver's license, reliable transportation, and the ability to travel between clinic locations as scheduled.
Employees will receive a travel stipend for each day they are required to travel between clinic locations, in accordance with clinic policy.
Pay: $15.00 - $20.00 per hour
