We are looking for an experienced, dependable Administrative Assistant who enjoys keeping an office organized, supporting clients and coworkers, and making sure important details don’t fall through the cracks.
This is an excellent opportunity for someone with prior administrative experience—ideally in an accounting, financial, legal, or other professional services environment—who works well independently, takes ownership of responsibilities, and enjoys being an important part of a small professional team.
What You’ll Do
As our Administrative Assistant, you will play a key role in keeping the office running smoothly and helping us provide an excellent experience for our clients.
Responsibilities include:
- Manage incoming calls and general office communications
- Coordinate client appointments, confirmations, follow-ups, and document requests
- Schedule in-office and Zoom meetings
- Support calendar management, email correspondence, and routine client communications
- Manage client onboarding and offboarding
- Assist clients with administrative requests throughout the year
- Prepare and distribute client emails and email campaigns
- Manage incoming and outgoing mail
- Maintain an organized, professional office environment and monitor office supplies
- Support client workflow, including during peak tax season
- Assist with e-filed tax returns and obtaining required e-file authorizations
- Organize client tax documents and assist with preparation of workpaper files
- Manage software subscriptions and renewals
- Maintain Continuing Professional Education (CPE) records and state board uploads
- Track client referral sources
- Assist with client proposals and related documentation
- Proofread and edit documents
- Coordinate and maintain the firm’s Policies and Procedures Manual
- Coordinate staff lunches and occasional internal events
- Operate office equipment, including copier, postage meter, and phone system
- Coordinate service, maintenance, and technology needs with our outsourced IT provider

Required skills and qualifications:
- 5+ years of administrative support experience
- Associate degree or equivalent combination of education and relevant experience
- Strong written and verbal communication skills
- Excellent attention to detail and accuracy
- Advanced proficiency with Microsoft 365
- Strong organizational and follow-through skills
- Ability to manage multiple deadlines and priorities
- Ability to handle confidential information with discretion
- Ability to work independently while also contributing as part of a team
- Strong technology skills and ability to learn new software quickly
- Strong commitment to providing excellent client service
Preferred experience:
- Previous experience in a CPA firm, accounting firm, law firm, financial services firm, or other professional services environment
- Experience with practice management or workflow software
- Experience managing documents, deadlines, and confidential client information
Our firm uses technology including Microsoft 365, OneDrive, LastPass, Zoom, Calendly, DocuSign, LinkedIn, Canopy, and Lacerte. Experience with every system is not required, but you should be comfortable learning new software.
Schedule
- 24–30 hours per week
- Monday through Friday
- In-office position near Hwy 270 and Manchester Road
- Number of hours, days worked, and daily schedule can be flexible based on mutual agreement
Compensation & Benefits
- 25–$32 per hour, based on experience
