Pacific Coast Properties is looking for a professional, organized, and dependable Front Desk Receptionist / Administrative Assistant to join our growing property management team.
This part-time position is ideal for someone who enjoys keeping an office running efficiently while providing administrative support to our Portfolio Managers. You’ll be the first point of contact for visitors, residents, owners, and vendors while assisting with a variety of office and administrative duties.
Duties
- Welcome and assist residents, owners, vendors, and visitors with a friendly, professional attitude.
- Answer and direct incoming phone calls and emails.
- Provide administrative support to two Portfolio Managers.
- Enter invoices and bills into our system for processing.
- Organize, file, and maintain physical and digital records.
- Sort, distribute, and organize incoming and outgoing mail.
- Make copies, assemble, and bind management reports and other office documents.
- Assist with preparing documents for meetings, owners, and property files.
- Maintain office organization and ensure common areas remain presentable.
- Order and organize office supplies as needed.

Requirements
- Proven experience in front desk operations or office administration with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
- Bilingual abilities are highly preferred to serve diverse clients and staff effectively
- Demonstrated experience with multi-line phone systems and phone etiquette in a professional setting
- Strong clerical skills including filing, proofreading, calendar management, and time management skills
- Previous customer service or customer support experience with a friendly and professional demeanor
- Knowledge of Appfolio or similar bookkeeping software is a plus
- Personal assistant experience or office management background is desirable but not required
- Property management, real estate, or administrative office experience is a plus.
- Experience processing invoices, organizing files, or handling accounts payable is beneficial but not required.
