As a Customer Service Specialist at American Structure Inc., you are the welcoming first voice our customers hear and the organizational backbone that keeps our office running smoothly. You'll create positive, reassuring experiences for homeowners navigating foundation, drainage, and structural projects while supporting our sales, production, office, and marketing teams. This role is a perfect fit for someone who is highly organized, detail-oriented, proactive, and energized by managing multiple priorities in a fast-paced environment.

Key Responsibilities
Customer Service & Office Operations
● Answer incoming calls professionally, route them appropriately, and build genuine rapport while gathering and qualifying new leads.
● Enter and maintain accurate lead information across company systems, including i360, Excel, and other CRM platforms.
● Track leads through every stage of the sales process, keeping records current and reliable.
● Schedule sales appointments and confirm them with customers the day before.
● Prepare sales documentation, including CADs, lead forms, contracts, and appointment packets.
● Maintain accurate production, installation, and sales calendars.
● Support the Office Manager with daily administrative duties and special projects.
● Coordinate office errands, subcontractor check pickups, and payroll distribution across our residential and commercial divisions.
● Create and organize monthly project folders and maintain filing systems for customer records, invoices, and job documentation.
● Order customer appreciation gifts like our signature thank-you cookies to make every client feel valued.
● Coordinate meeting schedules, support management accountability, and help the team hit its deadlines.
● Keep the office stocked, organized, and running efficiently.
Sales Support
● Provide administrative support to the sales team before, during, and after each sale.
● Prepare reports, proposals, and customer documentation as needed.
● Assist with follow-up communications and customer correspondence.
● Ensure customer files are complete and accurate before projects begin.
● Help strengthen the workflow between the sales, production, and office teams.
Marketing Support
● Support the marketing team with projects and daily tasks as needed.
● Provide administrative help for marketing initiatives.
● Prepare materials for company events, promotions, and community outreach.
● Take on additional marketing-related duties that advance company goals.
What You Bring
● Excellent verbal and written communication skills.
● Strong customer service and relationship-building abilities.
● Exceptional organization and attention to detail.
● Proficiency in Microsoft Office (Excel, Word, Outlook) and CRM software (i360 experience preferred).
● Ability to multitask and prioritize in a fast-paced environment.
● A positive attitude, strong work ethic, and eagerness to learn.
● Valid driver's license and reliable transportation for occasional errands.
