Duties
- Manage and coordinate complex calendars for executives using Microsoft Outlook Calendar and Google Workspace, ensuring optimal scheduling and timely reminders
- Provide comprehensive executive administrative support, including email management, document proofreading, transcription, and data entry
- Organize and plan events, meetings, and conferences utilizing event planning skills; handle logistics such as venue booking, catering coordination, and technical setup with video conferencing software
- Oversee office operations including filing systems, front desk responsibilities, managing multi-line phone systems, and maintaining office supplies inventory
- Perform bookkeeping tasks using QuickBooks to track expenses, process invoices via DocuSign, and assist with basic financial record keeping
- Facilitate project coordination by tracking deadlines, preparing reports, and collaborating with teams to ensure project milestones are met efficiently
- Provide exceptional customer service by addressing inquiries professionally over the phone or in person while demonstrating excellent phone etiquette
Requirements
- Proven experience in office management combined with personal assistant duties; previous roles as an executive assistant or administrative professional are highly valued
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Technical proficiency in productivity software such as Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and video conferencing tools like Zoom or Microsoft Teams
- Experience with bookkeeping software like QuickBooks along with basic bookkeeping knowledge
- Excellent written and verbal communication skills; capable of proofreading and transcription with high accuracy
- Demonstrated ability to manage multiple calendars simultaneously while maintaining attention to detail
- Familiarity with office equipment including multi-line phone systems and data entry procedures
- Exceptional interpersonal skills with a professional demeanor suited for collaboration with C-suite executives and team members alike
- Ability to handle confidential information discreetly while demonstrating strong phone etiquette and customer service skills
