Executive Assistant to Senior Leadership (Dual Executive Support)
We are seeking an accomplished Executive Assistant with solid experience supporting senior-level executives. This role provides dedicated support to two senior executives simultaneously, and requires exceptional attention to detail, strong organizational skills, and the ability to manage competing deadlines and shifting priorities in a fast-paced environment.
A high level of integrity and discretion in handling confidential information is essential, along with professionalism when interacting with senior leadership, partners, and outside contacts. This person will represent both executives in a positive and professional manner, serve as a true partner in keeping their day-to-day operations effective, and take initiative to identify solutions before problems arise. The ideal candidate anticipates needs, stays several steps ahead, and moves comfortably between two different working styles and sets of priorities without missing a beat.
Responsibilities
Scheduling and Calendar Management
- Manage day-to-day calendars for both executives, coordinating across two schedules to avoid conflicts and protect priority time
- Anticipate critical events and each executive's needs in a fast-paced, dynamic environment
- Schedule meetings, appointments, conference calls, and internal/external events
- Arrange travel itineraries, bookings, and commercial logistics for both executives.
Tasking and Project Coordination
- Track and manage ad hoc projects and open items for both executives, keeping deadlines visible and work moving forward
- Screen, prioritize, and route phone and email correspondence and inquiries for each executive
- Draft responses, correspondence, and documents on request; assist with day-to-day email management
- Manage and coordinate team meetings and events for executives, including scheduling for the broader team as needed
Documents and Administrative Support
- Prepare internal and external corporate documents and presentations
- Prepare and submit expense claims in a timely manner for both executives
- Maintain organized recordkeeping and follow-up systems across all portfolios of work
Light IT Support
- Provide basic troubleshooting for laptops, mobile devices, and common office software
- Support account access needs (email, calendar, shared drives, business apps) and coordinate with outside IT resources when a deeper fix is needed
- Manage simple domain, account verification, and login-related tasks as they come up
Discretion and Relationship Management
- Uphold a strict level of confidentiality across all matters relating to both executives
- Build and maintain strong working relationships with internal team members and external contacts on behalf of both executives
- Exercise sound judgment in deciding what needs immediate attention versus what can wait
Ideal Candidate
Someone with prior experience supporting senior executives, comfortable managing two sets of priorities at once, highly organized, tech-comfortable, and proactive by nature. Strong written communication skills and the composure to handle a fast-moving, high-volume workload are a must.
Pay: $40,000.00 - $60,000.00 per year
