The Hopkinton Center for the Arts (HCA) is a vibrant nonprofit arts organization serving more than 40,000 visitors annually through visual arts, music, dance, theater, adaptive arts, performances, and community events. We are seeking an enthusiastic, highly organized, and customer-focused Private Lessons Administrator to oversee the day-to-day operations of our growing private music lesson program.
Position Summary (Monday-Friday 2 pm - 7 pm)
The Private Lessons Administrator is responsible for coordinating all aspects of HCA’s private lesson program. This individual serves as the primary point of contact for students, families, and instructors, ensuring an exceptional customer experience while managing scheduling, enrollment, communication, and administrative operations.
This position is ideal for someone who enjoys working with people, thrives in a fast-paced environment, and has a passion for the arts and education.
Responsibilities
· Serve as the primary contact for prospective and current private lesson students and families.
· Match students with instructors based on age, experience, goals, and availability.
· Coordinate weekly lesson schedules for instructors, students, and teaching spaces.
· Manage lesson changes, cancellations, make-up lessons, and instructor substitutions.
· Process registrations and maintain accurate student records.
· Monitor enrollment, waitlists, and instructor availability.
· Collaborate with the finance team regarding lesson billing and account questions.
· Provide outstanding customer service by responding promptly to inquiries and resolving scheduling issues.
· Build strong relationships with students and families to encourage long-term participation.
· Support student recitals and special events as needed.
· Prepare enrollment and program reports for leadership.
· Assist in recruiting instructors for high-demand disciplines.
· Promote additional HCA classes, camps, and programs that complement private lessons.

Preferred
· Experience in arts administration, education, music schools, or nonprofit organizations
· Experience with scheduling or registration software
· Knowledge of private music instruction or performing arts education
