Job Summary:
Award-winning Durango, Colorado architecture firm seeks experienced professional with office-management skills to assist with exciting projects ranging from private residences to large-scale public housing, commercial and community projects, and historic preservation. The applicant should be highly organized, technologically literate, self-directed and enthusiastic. Strong written and verbal communication skills, accuracy, efficiency, and the ability to work independently and balance multiple priorities are expected. Responsibilities:
Organize and coordinate office operations and procedures, in order to ensure and improve organizational effectiveness, efficiency and safety.
_ Office Management_
o Serve as the point person for office operations including maintenance, mailing, shopping, supplies, equipment, technology, bills, and errands.
- Phone & Communication (answer front desk phone, emails, and text messages)
- Draft general correspondence to Clients
o Create Accounts for all Clients upon initial meetings (general information).
o Maintain Master calendar.
- Organize and schedule meetings and appointments
- Maintain workflow schedule for Client Updates
o Ensure Professional Licensing is up to date.
- Follow professional licensing renewal procedures
- Follow insurance policy status/renewal
File Storage Organization (hard copy and digital)
o Hard copy to digital file conversion
o Portfolio management
Marketing coordination
o Develop a firm website with all necessary and applicable content, visuals, and design
Document editing
o Excellent written and verbal communication skills
o Edit Specification Document Templates, Contracts, and/or official AIA Documents for all Projects
o Produce spreadsheets and documents for various Project needs
Requirements:
o Successful office management, administrative and/or executive assistant experience (2-5 years preferred)
o Excellent time management skills and ability to multi-task and prioritize
o Attention to detail and problem solving skills
o Excellent written and verbal communication skills
o Strong organizational and planning skills
o Proficiency in MS Office (AutoCAD and/or Autodesk Revit a plus)
o Knowledge of architectural office management systems and procedures (preferred)
