Glacial Lakes Energy is seeking individuals who are interested in occasional short term, temporary work to fill in when our administrative coordinators are out of office/ on vacation.
The successful applicants for this position would be available, with sometimes limited notice, to assist in answering calls and greeting office visitors while performing light administrative work. We are seeking assistance in our Aberdeen and Mina, SD locations.
Pay: $20.00/Hour

Job Summary
The primary duty of this position is to perform a wide range of administrative and office support activities. Attend to visitors and deal with inquiries on the phone and face to face. Supply information regarding the organization to the general public, clients and customers. This position will maintain an efficient office environment. Employment for this position is conditioned upon successfully passing certain pre-employment requirements.
Responsibilities and Duties

Oversee front office reception area – answer phone(s) and transfer call(s) to the appropriate staff members, take and distribute accurate messages, greet public and clients directing them to the correct staff members(s)

Oversee general office administration including but not limited to processing of internal and external mail, messenger and courier service(s), make copies of or fax correspondence or other printed materials as requested, coordinate company vehicles and maintenance, etc.

Assist with maintaining office filing and storage systems

Keep lobby, work area, and storage rooms neat and clean at all times

Prepares correspondence and documents as requested

Organize travel arrangements for staff as requested

Assist with event planning and implementation as needed

Organizes conference and meeting room bookings

Coordinates meetings and organize catering as requested

Perform work related errands

Maintains high level of customer service

Works in an honest and ethical manner, maintaining confidentiality on all business-related and team member-related matters

Maintains a team environment within the department and with all other plant departments

Be depended on to report to work at the scheduled time and is seldom absent from work

Education/Experience/Competencies

Must be 18 years or older
-
Basic secretarial skills (answering multiple-line phone systems, emphasizing proper etiquette and proper handling of all calls.) Must have basic knowledge of office computers, business machines, and office hardware

Must have excellent customer service skills

To perform the job successfully, an individual should demonstrate the competencies required to perform the essential functions of this position along with effective oral and written communications skills, and excellent interpersonal skills

Ability to interact with a tactful, professional and cordial manner

Must be able to communicate clearly in English
Physical requirements/Work Environment:

This position operates mainly in an office environment. In the office, the employee will work on a personal computer.
