Job Summary
The Oakville School District is seeking a dedicated and organized individual to join our team as a Special Education Secretary on a part-time basis. This position plays a crucial role in supporting the Special Education department by providing administrative assistance, managing records, and facilitating communication between staff, students, and families. The ideal candidate will possess strong organizational skills, attention to detail, and a passion for supporting students with diverse learning needs.
Responsibilities
- Provide administrative support to the Special Education department, including scheduling meetings, maintaining calendars, and coordinating events.
- Manage and maintain student records, ensuring accuracy and confidentiality in compliance with district policies and legal regulations.
- Assist in the preparation and distribution of reports, correspondence, and documentation related to special education services.
- Serve as a point of contact for parents, staff, and external agencies regarding special education inquiries and support.
- Coordinate the logistics of special education meetings, including IEP (Individualized Education Program) meetings, assessments, and evaluations.
- Maintain an organized filing system for all special education documents, ensuring easy access and retrieval of information.
- Collaborate with teachers, administrators, and support staff to ensure the smooth operation of the Special Education department.
- Assist in the procurement and inventory management of special education materials and resources.
- Perform other related duties as assigned by the Special Education Director or administrative staff.
Requirements
- High school diploma or equivalent; additional education or training in office administration or special education is highly desirable.
- Previous experience in a school setting particularly in special education, is highly desirable.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with student information systems.
- Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
- Excellent communication skills, both written and verbal, with a strong customer service orientation.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong attention to detail and accuracy in record-keeping and documentation.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of special education laws and regulations is a plus.
