Operations & Sales Coordinator Job Description
The purpose of this role is to oversee the day-to-day sales and operational workflow of Sheds On-Site LLC by delivering exceptional customer service, converting inbound inquiries into booked projects, maintaining operational excellence, and ensuring every customer receives a seamless experience from initial contact through project completion.
As the Operations & Sales Coordiantor, you will take ownership of the company's inbound sales pipeline, customer communication, scheduling coordination, and office operations. This role is responsible for ensuring that every inquiry receives a prompt response, every lead is followed up with consistently, and every customer is guided professionally through the purchasing process. You will play a key role in driving bookings, improving customer satisfaction, maintaining organized operations, and identifying opportunities to improve efficiency and support the continued growth of the company.
This position requires someone who is highly organized, proactive, detail-oriented, customer-focused, results-driven, adaptable, and committed to taking ownership of responsibilities. Success in this role requires urgency, accountability, strong communication skills, and a passion for delivering an outstanding customer experience while helping the company achieve its growth goals.
Responsibilities
Inbound Sales & Customer Success
- This role focuses exclusively on managing inbound customer inquiries, building relationships, preparing estimates, and guiding prospective customers through the purchasing process from initial inquiry to booked project.
- Respond promptly to all new inquiries through phone, text, email, website, and Meta Business Suite
- Follow up consistently with prospective customers.
- Assist customers with designing the shed that best fits their needs.
- Educate customers on our products, services, financing options, and permitting process.
- Own the sales process from initial inquiry through booking, closing sales independently while collaborating with the Director and CEO on complex or high-value projects when needed.
- Maintain accurate customer records within company systems.
- Prioritize daily office activities to ensure customer requests, projects, and operational deadlines are completed efficiently
Customer Experience
- Provide exceptional customer service before, during, and after every project.
- Resolve customer concerns professionally and promptly.
- Build rapport and long-term relationships with customers.
- Obtain customer reviews and referrals.
Operations & Administrative Support
- Process and submit customer orders accurately and in a timely manner.
- Coordinate schedules, appointments, and production calendars.
- Ensure all files and customer information remain accurate and organized.
- Support with daily operational and administrative tasks.
- Assist the Project Coordinator with permit documentation as needed.
Full job duties will be discussed during training.
Expected Results
- Deliver an outstanding customer experience on every interaction.
- Consistently achieve assigned weekly and monthly sales and operational KPIs.
- Respond to all customer inquiries by the end of each business day.
- Maintain accurate scheduling through company systems.
- Ensure all customer orders are complete, accurate, and submitted on time.
- Maintain organized customer files and operational records.
- Follow up with all active leads until a final decision is reached.
- Help increase the company's booking rate and customer satisfaction.
- Support the Director and CEO by taking ownership of assigned responsibilities and proactively solving problems.
- Demonstrate ownership by identifying problems, proposing solutions, and taking initiative without waiting for direction.

Minimum Requirements
- High school diploma or GED required.
- Minimum 2 years of experience in customer service, sales, office administration, operations, project coordination, or a related role.
- Excellent verbal and written communication skills.
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Proven ability to provide outstanding customer service while managing multiple customer conversations simultaneously.
- Comfortable using computers and learning new software quickly (Google Workspace, CRM systems, scheduling software, Microsoft Office, etc.).
- Professional phone etiquette and strong interpersonal skills.
- Self-motivated with the ability to work independently, take initiative, and solve problems.
- Strong attention to detail and a high level of accuracy.
Preferred Qualifications
- Bilingual (English/Spanish) is a plus.
- Experience leading or coordinating a small office team.
Pay: $45,760.00 per year
