Job Summary
The Office Coordinator is responsible for ensuring the smooth operation of the office by performing a wide range of administrative, organizational, and support tasks. This position includes managing office supplies, coordinating meetings, assisting with internal communications, and providing support to various departments as needed. The office coordinator plays a critical role in creating a well-functioning and productive workspace.
This position will transition to Wallis, Texas over the next year.
Responsibilities and Authority
- Serves as the primary focal point for office-related tasks, ensuring the office runs smoothly and efficiently.
- Maintains office supplies and inventory, ensuring timely re-ordering and distribution of materials.
- Organize and maintain office common areas, reception areas and break rooms.
- Provide administrative support to staff, including scheduling meetings, booking travel arrangements, and preparing documents.
- Answer and direct phone calls, respond to inquiries, and serve as the first point of contact for visitors.
- Manage incoming and outgoing mail, packages, and deliverables.
- Assist in planning and organizing company events, meetings, and training sessions.
- Set up conference rooms for meetings, including arranging seating, technology, and refreshments.
- Assist with event coordination, such as team building activities, client meetings, and offsite events.
- Facilitate internal communications by distributing memos, updates, and company announcements.
- Coordinate with vendors, service providers, and contractors to ensure office facilities are properly maintained.
- Assist with onboarding new employees by preparing workstations and necessary tools.
- Assist in managing and updating company databases, tracking important information, and keeping records up to date.
- Coordinate with IT support to maintain office equipment (computers, printers, phones, etc.).
- Ensure office equipment is functioning properly and make arrangements for repairs or replacements when necessary.
- Employees may be required to perform other related duties as assigned, consistent with the scope of the position and operational requirements.
Requirements
- High school diploma, or equivalent experience.
- Proficient with Microsoft suite.
- Spanish Speaking.
Pay: $21.00 - $25.00 per hour
