The Client Care Manager (CCM) is a key leader within Wynns Family Psychology and plays an essential role in shaping the client experience from first contact through ongoing care. This position blends warm, relationship-centered client support with thoughtful operational leadership. We are seeking someone who is energized by connecting with families, guiding them to the right services, and helping them feel truly cared for. The ideal candidate is proactive, resourceful, and genuinely motivated by the opportunity to help clients take the next step toward support. The CCM also oversees the administration team at WFP.
Key Responsibilities (Please refer to the job description for all duties):
- Oversee new client referrals, scheduling, and client engagement
- Guide prospective clients during intake calls, offering clear and compelling information about WFP services, pricing, and value
- Provide front-desk coverage and serve as point person for client concerns
- Support providers with scheduling, billing, and administrative needs
- Supervise the admin team and support daily office operations (such as payment logs, billing, and accounting coordination)
- Oversee provider/IC payroll processesComplete payroll for the administrative team.
- Build and maintain strong relationships with community referral partners (schools, physicians, organizations).
- Participate in leadership meetings and contribute to process improvements
- Maintain relationships with referral partners and assist with outreach efforts
- Attend networking events to represent WFP with professionalism
- Serve as a point of contact for emergencies for staff, including during evenings or weekends
- Oversee newsletters, email blasts, social media posts, and marketing efforts

Qualifications
- Bachelor’s degree required in Human Services, Business Administration, Healthcare Administration, or a related field.
- 3-5 required (5-7 preferred) years of work experience in client services, sales, administrative leadership, or office management with a proven track record in client intake and scheduling systems and policy and procedure development
- Experience in marketing and business development, including networking, referral partner engagement, and event participation.
- Strong interpersonal and communication skills, with a natural ability to connect and build trust.
- A proactive, initiative-driven mindset- someone who enjoys guiding clients toward the services that best support their needs
- Ability to balance compassion with efficiency in a fast-paced environment.
- Strong organizational and time management skills, and ability to prioritize
- Experience supervising staff and leading teams.
- Must be proficient with Microsoft Office and Google products
- Commitment to maintaining confidentiality and upholding ethical standards.

- This position also offers a quarterly bonus incentive based upon key performance metrics (and upon full training and independence in your role).
