Job Summary
The Office Coordinator is the hub of daily operations. You will manage customer scheduling for multiple technicians, maintain chemical inventory, coordinate with apartment complexes, commercial clients, and residential clients, and keep the office running efficiently. This is a hands-on role that requires strong organizational skills, comfort with technology, and the ability to handle multiple priorities throughout the day.

Responsibilities
Scheduling and Customer Communication
- Manage and schedule appointments for multiple technicians using our scheduling software
- Call customers to schedule quarterly services, termite warranty renewals, and other recurring appointments
- Confirm upcoming appointments with customers
- Answer incoming calls, provide information about services, and schedule new customers
- Optimize daily routes for technicians to ensure efficient scheduling within geographic areas
Apartment Complex and Commercial Coordination
- Manage communication with apartment complex managers regarding unit treatment requests
- Assist with commercial project bids by reviewing site plans and calculating square footage for pricing
- Prepare submittal documents for awarded commercial projects
Office Administration
- Check and manage company email, routing items to the appropriate person
- Assist with termite disclosure documents and related paperwork
- Maintain organized filing systems for customer records and project documentation
- Provide general office support as needed

Requirements
- Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously
- Comfortable learning and working in scheduling and business management software
- Excellent phone communication and customer service skills
- Proficiency with computers including Microsoft Office (Word, Excel, Outlook)
- Ability to work independently and take initiative without constant supervision
- Attention to detail, especially when managing schedules, inventory, and customer records
- Problem-solving mindset with the ability to adapt to changing daily priorities

Preferred Qualifications
- Previous experience in office coordination, dispatching, scheduling, or operations
- Experience working in pest control, home services, or a similar field service industry
- Familiarity with route-based scheduling or field service management software
- Experience managing inventory or ordering supplies
- Comfort working with maps and site plans for quoting or scheduling purposes

Education and Experience
- High school diploma required
- 1 to 3 years of office, scheduling, or operations experience preferred
- Candidates with dispatching, property management, or field service coordination experience are encouraged to apply
