About the Position
We are seeking a dependable, organized, and detail-oriented Office Assistant / Bookkeeper to support our construction and farming operations. This position is responsible for assisting with daily office administration, bookkeeping functions, vendor management, and financial recordkeeping across multiple business activities.
The ideal candidate will be comfortable working in a fast-paced environment, managing multiple priorities, and supporting both office and operational teams. Experience in construction, agriculture, trucking, or related industries is highly preferred.
ResponsibilitiesBookkeeping & Accounting
- Process accounts payable and accounts receivable
- Enter invoices, receipts, and financial transactions accurately
- Reconcile bank accounts, credit card statements, and vendor accounts
- Assist with job cost tracking and project expense reporting
- Maintain vendor files and customer accounts
- Monitor outstanding invoices and assist with collections
- Prepare spreadsheets and reports for management review
- Support month-end and year-end accounting processes
Construction & Farm Administrative Support
- Track purchase orders, fuel receipts, and equipment expenses
- Assist with job files, project documentation, and contract records
- Maintain equipment, vehicle, and asset records
- Support payroll administration by collecting and organizing employee time records
- Assist with farm operation recordkeeping, inventory tracking, and production reporting
- Coordinate with vendors, subcontractors, suppliers, and service providers
Office Administration
- Answer and direct incoming phone calls
- Greet visitors and provide professional customer service
- Manage filing systems and digital records
- Process incoming and outgoing mail
- Order office supplies and maintain inventory
- Assist management with special projects and administrative tasks
- Maintain confidentiality of company and employee information
Qualifications
- Minimum 2 years of bookkeeping, accounting, or office administration experience preferred
- Experience in construction, farming, trucking, manufacturing, or related industries preferred
- Strong knowledge of Microsoft Excel, Word, and Outlook
- Experience with QuickBooks or similar accounting software preferred
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Ability to work independently while managing multiple priorities
- Professional communication skills and positive attitude
- High level of integrity and confidentiality
