As we continue to grow, we are looking for a Payroll & Billing Administrator who understands that accuracy matters, details matter, and people matter. This role is more than processing payroll and creating invoices. It is about ensuring employees are paid correctly, customers are billed correctly, and the business operates with confidence in its financial data. Position Overview
The Payroll & Billing Administrator is responsible for the accurate and timely administration of payroll, employee benefits, and customer invoicing. This position serves as a critical checkpoint between employee time reporting, payroll processing, and customer billing. The successful candidate will ensure hours paid and hours billed are accurate, supported by documentation, and processed on schedule. This role works closely with Operations, Finance, Human Resources, Project Management, and Leadership to support the company's continued growth.

Key Responsibilities
Payroll Administration
- Process payroll through ADP.
- Review and validate employee time records.
- Audit payroll information for accuracy and completeness.
- Process reimbursements, per diem, bonuses, and adjustments.
- Resolve payroll discrepancies and employee inquiries.
- Maintain payroll records and supporting documentation.
- Support prevailing wage and certified payroll reporting requirements when applicable.
Billing & Invoicing
- Prepare and process customer invoices through QuickBooks.
- Verify billable hours, labor classifications, billing rates, and supporting documentation.
- Reconcile hours paid against hours billed.
- Ensure invoices are submitted accurately and on schedule.
- Maintain organized billing records and documentation.
- Assist with invoice tracking and collections support.
Benefits Administration
- Administer employee benefit enrollments and changes.
- Coordinate benefit communications and documentation.
- Maintain employee benefits records.
- Serve as a resource for employee benefit-related questions.
Administrative Support
- Generate payroll and billing reports.
- Assist with month-end reporting activities.
- Maintain confidential employee and financial information.
- Support audits and compliance requirements.
- Identify opportunities to improve processes, efficiency, and accuracy.
Required Qualifications
Experience
- Minimum 2 years of daily payroll processing experience using ADP.
- Minimum 2 years of daily experience using QuickBooks.
- Minimum 3 years of payroll, billing, accounting, or administrative experience.
- Experience reviewing and reconciling employee time records.
- Experience working in a fast-paced business environment.
Skills

- Associate's or Bachelor's degree in Accounting, Business Administration, Human Resources, or a related field.
