We are seeking a highly organized and detail-oriented Legal Secretary to join our team. In this vital role, you will provide comprehensive administrative and legal support across a variety of practice areas, ensuring smooth and efficient operations within the firm. Your proactive approach, exceptional organizational skills, and legal support expertise will help facilitate case management, client communication, and document preparation. The qualified candidate will have secretarial experience, legal experience preferred but will consider experience overall. Duties: typing correspondence, pleadings, legal documents, etc. Ability to navigate programs such as Iowa Docs, Iowa Land Records, EDMS, Outlook email; answering phones and greeting visitors. Someone with tax experience or willing to learn is a plus. We have 4-day workweeks - Monday through Thursday and work 9:00 a.m. to 4:00 p.m. with some flexibility. This position requires someone who has a good work ethic, is detail oriented, and works well with the public and professional offices. It requires a high level of confidentiality. Responsibilities
- Manage and maintain legal case files using document management systems such as iManage and PCLaw, ensuring accuracy, confidentiality, and easy retrieval of information
- Draft, review, and edit legal documents including contracts, pleadings, briefs, and correspondence with precision and attention to detail
- Assist attorneys with client communication by scheduling appointments, preparing interview questions for clients or witnesses, and maintaining professional phone etiquette
- Support project management tasks related to case deadlines, court filings, procedural law requirements, and document review processes
- Handle confidential information with integrity while providing executive administrative support including calendar management and correspondence handling
- Proofread legal documents for accuracy and clarity; transcribe dictations; prepare reports; manage incoming calls; organize meetings; ensure all documentation complies with procedural standards
Qualifications
- Proven experience as a legal secretary supporting multiple practice areas such as estate planning, landlord-tenant law, family law, probate, real estate, tax, corporate
- Strong knowledge of procedural law requirements
- Proficiency in legal research tools including Westlaw; excellent word processing skills in Microsoft Office applications and WordPerfect
- Demonstrated ability to handle confidential information discreetly with high ethical standards
- Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Excellent written and verbal communication skills; strong proofreading and transcription abilities
- Experience with document review processes and civil litigation support is highly desirable
- Familiarity with legal drafting for contracts and other legal documents
