Job Summary
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. Responsibilities
- Oversee daily office operations, including managing supplies, equipment, and facilities maintenance to ensure a productive work environment.
- Serve as the front desk receptionist, greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
- Manage calendar scheduling, appointment setting, and coordinate meetings for staff and executives using productivity software like Microsoft Office and Google Workspace.
- Handle data entry, filing, and document proofreading to maintain accurate records and support administrative functions.
- Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping.
- Support office management tasks including organizing files, managing correspondence, and maintaining office policies.
- Assist with clerical duties such as typing reports, managing phone etiquette standards, and supporting customer support efforts.
- Coordinate with medical or dental reception teams when applicable, including scheduling appointments and managing patient or client information securely.
- Demonstrate technical proficiency in computer literacy, office management software, and familiarity with multi-line phone systems to streamline communication processes.
Experience
- Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service.
- Prior experience using productivity software such as Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar).
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable.
- Bilingual abilities are preferred to effectively communicate with diverse clients and team members.
- Experience working in medical or dental reception environments is a plus but not required.
- Demonstrated organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities.
- Strong phone etiquette skills combined with excellent interpersonal communication abilities to support front desk operations.

This role is essential to ensuring smooth administrative functioning, accurate documentation, and ongoing compliance with regulatory and organizational requirements.
The ideal candidate is detail-oriented, proactive, and able to manage multiple administrative tasks in a fast-paced, mission-driven environment.
Key Responsibilities
- Maintain organized records, files, and documentation systems (both physical and digital)
- Coordinate staff schedules, meetings, and program calendars
- Support compliance documentation, including licensing, audits, and reporting requirements
- Assist with onboarding paperwork, staff files, and administrative tracking systems
- Serve as a central point of communication for internal staff and external partners
- Manage office supplies, data entry, and general administrative tasks
- Support leadership with reporting, documentation, and operational coordination
- Ensure timely and accurate recordkeeping aligned with regulatory standards

Qualifications
- Bachelor’s degree required (Business Administration, Human Services, or related field preferred)
- Minimum of 2+ years of administrative or office management experience
- Strong organizational, time management, and multitasking skills
- High attention to detail and ability to manage confidential information
- Proficiency in Microsoft Office (Word, Excel, Outlook) and/or Google Workspace
- Ability to work independently and as part of a team in a structured environment
Compensation & Schedule
- Annual salary: $37,000
- Full-time schedule: 40 hours per week
- Paid Bi-weekly
- In-person role based in Philadelphia
