Responsibilities
- Greet visitors and clients professionally at the front desk, providing exceptional customer service with friendly phone etiquette.
- Manage multi-line phone systems efficiently, directing calls accurately and promptly.
- Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy across all communications.
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings using Google and Microsoft Office tools.
- Assist with bookkeeping and invoicing using QuickBooks, ensuring timely payment processing and financial record keeping.
- Provide clerical support including copying, scanning, and maintaining filing systems for easy retrieval of documents.
- Support customer service efforts by responding to inquiries via phone or email, offering helpful solutions and information.
Qualifications
- Must have a valid driver's license and reliable transportation.
- Proven office experience with strong organizational skills and proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent computer literacy including Google applications and multi-line phone systems.
- Bilingual ability is a plus (but not necessary) for serving diverse clients effectively.
- Demonstrated clerical experience with attention to detail in proofreading and filing.
- Strong time management skills with the ability to prioritize tasks efficiently.
- Previous personal assistant or administrative support experience is advantageous.
- Exceptional phone etiquette and customer support skills to foster positive interactions.
