Communication & Resident Relations
- Serve as liaison between Homeowners and Management Company with a pleasant, cooperative, and helpful demeanor.
- Answer phone calls and return messages promptly and courteously.
- Update the front entry directory board and Key Fob System as needed.
- Notify Homeowners in writing of rule violations and applicable fines with Management Approval.
- Distribute Notices, Newsletters, Meeting Minutes, and other correspondence.
Property Oversight
- Regularly inspect buildings, garages, and grounds.
- Collaborate with on-site staff and Property Manager to ensure property is well-maintained.
Records & Documentation
Maintain organized files for:
- Homeowners and Renters (unit, garage stall, storage locker, contact info).
- Vendors, Meeting Minutes, Newsletters, and other association documents.
- Assign and record garage stall numbers – Inform Property Manager of any new leases or updates to garage stall rentals.
Keep the office neat and stocked with supplies.
Financial Duties
- Collect Association fees and fines, notify Property Manager for deposit.
- Collect laundry room money monthly; notify Property Manager for deposit.
- Coordinate Party Room and Billiard Room rentals. (Collect rental fees and security deposits. Notify Property Manager for rental checks for deposit. Return deposits after inspection confirms cleanliness and no damage.)
Staff Coordination & Reporting
- Email timesheet to Property Manager on the 10th and 25th of each month.
- Assist with Association Meetings as requested by Property Manager.
- Assist with Vendor coordination as requested by Property Manager or Maintenance.
