Job Overview
We are seeking a dynamic and highly organized Admissions Director to lead our patient intake and enrollment processes within a fast-paced healthcare environment. Duties
- Manage and supervise the admissions team to ensure efficient patient intake, scheduling, and registration processes.
- Oversee medical administrative support functions, including medical records management, EHR/EHR systems (such as Epic, eClinicalWorks, Dentrix), and HIPAA compliance.
- Coordinate with clinical staff to verify insurance coverage, manage billing workflows, and ensure accurate documentation in accordance with healthcare regulations.
- Implement best practices in managing electronic health records (EHR) systems and maintain data integrity across all platforms.
- Develop and monitor budgets related to admissions operations, ensuring fiscal responsibility while optimizing resource utilization.
- Ensure adherence to health regulation policies (such as JCAHO standards) and manage compliance with healthcare laws including HIPAA.
- Lead hiring, training, and ongoing development of staff in medical office procedures, customer service excellence, and regulatory compliance.
- Collaborate with practice management to improve patient flow, reduce wait times, and enhance overall patient satisfaction.
- Utilize healthcare management tools like Managed Care systems and utilization management protocols to streamline operations.
- Maintain detailed records of all admissions activities, prepare reports on operational metrics, and recommend process improvements.
- Must have, as a minimum, one year of experience as a supervisor in a hospital, long-term care facility, or other related health care facility.
Other Specific Requirements
- Case Manager experience is preferred
- Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the general public
- Must be knowledgeable of nursing and medical practices and procedures
- Must provide evidence of being free of tuberculosis infection upon hire and as set forth by the policies of the facility.
- Must be able to read, write, speak and understand the English language.
- Must possess the ability to make independent decisions.
- Must be knowledgeable of policies and procedures, as well as laws, regulations, and guidelines that pertain to long-term care.
- Must possess leadership and supervisory ability and the willingness to work harmoniously with and supervise other personnel.
Skills
- Proven experience in medical office management with a strong understanding of healthcare operations and practice management principles.
- Extensive knowledge of electronic health records (EHR/EHR systems), including Epic, eClinicalWorks, Dentrix, and Medical Management software such as Eaglesoft.
- Demonstrated supervisory experience leading teams within a healthcare setting; ability to motivate staff and foster a collaborative environment.
- Strong fiscal management skills including budgeting, financial analysis, and resource allocation within a healthcare practice.
- Familiarity with medical terminology, medical records management, HIPAA regulations, and health regulation policies such as JCAHO standards.
- Experience with hospital or acute care environments is highly desirable; knowledge of managed care and utilization management is a plus.
- Excellent communication skills for interacting with patients, clinical staff, insurance providers, and external partners.
- Ability to navigate EMR/EHR systems efficiently while maintaining accuracy in data entry and record keeping.
- Knowledge of medical administrative support functions including appointment scheduling, insurance verification, billing procedures, and compliance documentation.
- Strong organizational skills with attention to detail in managing multiple priorities simultaneously in a fast-paced setting.
- WORK ENVIRONMENT:
- Works in all area(s) of the facility (i.e. nurse’s stations, resident rooms, offices, etc.).
- Moves continually during working hours.
- Is subject to frequent interruptions.
- Interacts with employees, residents, personnel, visitors, government agencies/personnel, etc., under all conditions and circumstances.
- Is subject to hostile and emotionally upset residents, family members, personnel, and visitors.
- Communicates with the medical staff, nursing personnel, and other department supervisors.
- Works beyond normal working hours and on weekends and holidays when necessary.
- Is subject to call-back during emergency conditions (e.g., severe weather, evacuation, post-disaster, etc.).
- Is subject to injury from falls, burns from equipment, odors, etc., as well as to reactions from dust, disinfectants, tobacco smoke, and other air contaminants.
- Is subject to exposure to infectious waste, diseases, conditions, etc., including TB and the AIDS and Hepatitis B viruses.
- May be subject to the handling of and exposure to hazardous chemicals.
PHYSICAL AND SENSORY REQUIREMENTS (with or without the aid of mechanical devices):
- Must be able to move intermittently throughout the work day.
- Must be able to cope with the mental emotional and stress of the position
- Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met.
- Must function independently, have flexibility, personal integrity, and the ability to work effectively.
- Must meet the general health requirements set forth by the policies of this facility which may include a medical and physical examination.
- Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and, at times, hostile people within the facility.
- Must be able to lift up to 50 pounds. Requires infrequent lifting of more weight up to 75 pounds. Frequent pushing and pulling of carts.
- May be necessary to assist in the evacuation of residents during emergency situations.
